Detailed Job Description
The College of Science Purchasing Assistant is primarily responsible for preparing, processing, and tracking orders received from the College's faculty, staff and students. The types of orders include office and laboratory supplies, equipment purchases, and equipment service and maintenance requests. All transactions are processed using either Institute credit cards (aka ProCards) or through Oracle procurement applications. Position duties include all processing and reconciliation activities involving invoicing and credits, COS Stockroom ProCard monthly reconciliation and credit limit adjustments utilizing the PCN ActivePay software and Oracle applications. This position is responsible for maintaining the existing electronic purchase tracking system. It is also responsible for hiring, scheduling and assigning tasks to the Stockroom student workers. The person will also assist with office assignments, special projects, stockroom team support, and college functions when requested.Responsibilities include:

Responsible for processing over 2,000 orders per year using RIT Procurement cards, Oracle Purchasing or Invoice payment forms; annual average purchases total more than $2M per year

Oversight of 6 COS Stockroom credit cards and all processes related to transactions, including monthly reconciliation of statements in accordance with Controller's Office policy; process journal entries as needed

Supply Orders: place orders; review orders upon arrival and ensure payments made in timely manner

Generate monthly reports for department reconciliation

Assist in requesting pricing quotes following university guidelines

Research and communicate cost saving alternatives for purchases

Create annual pricing agreements for office/lab supplies/equipment

Maintain documentation for all transactions

Responsible for hiring, scheduling and assigning work duties to the Stockroom student workers

Department/College Description
The College of Science has 838 undergraduate students, 292 graduate students and 202 faculty members. It delivers the required scientific and mathematical education for most of the programs offered at RIT. The College of Science houses four of RITs eight Ph.D. programs - color science, astrophysical sciences and technology, mathematical modeling and imaging science.
The College of Science offers undergraduate and graduate programs in the Chester F. Carlson Center for Imaging Science, Thomas H. Gosnell School of Life Sciences, the School of Chemistry and Materials Science, the School of Mathematical Sciences, the School of Physics and Astronomy, and the Program of Color Science. It also offers many research opportunities and programs and houses a number of research centers and laboratories that are conducting world-renowned research. In addition to its degree programs, the College delivers the required scientific and mathematical underpinnings for most of the programs offered at RIT.
Minimum Qualifications
Experience:

3 - 5 years purchasing experience
