Someone that will be pivotal to championing and nurturing a healthy, enduring culture in our Lynnwood office.     This position is responsible for performing and overseeing tasks which ensure that our customers, visitors, callers, clients, vendors, and QCC employees have a positive and professional experience. A customer service mindset and the ability to juggle multiple priorities are key to helping us create an incredible, memorable experiences for everyone.

    A successful candidate will be able to grasp the operational needs of our company, and proactively engage the appropriate department heads to expand and improve upon current systems and tools.

    Responsibilities:

    • Provide Engineering, Sales, and Marketing teams with administrative assistance
    • Greet and welcome visitors and customers
    • Answer incoming calls
    • Package and prepare outgoing mail and deliveries
    • Sign for incoming items and certified mail
    • Open and distribute all office mail
    • Ensure all outgoing mail is delivered to USPS, UPS and FedEx at the end of each business day.
    • Monitor office supply inventory and place orders weekly, keep supply area organized and stocked
    • Maintain organized and tidy common spaces in the office, including the lobby and kitchens
    • Provide facilities management assistance at our Lynnwood office:
    • Manage janitorial services and contracts
    • Communicate concerns regarding building safety and services to Safety Manager/Facilities Director.
    • Monitor office vendors to ensure they are delivering the correct services
    • Troubleshoot copier/printer, computer, and basic software issues as needed and coordinating office support with our IT department.
    • Fax, scan, copy, sort, and file documents as needed
    • Provide Engineering, Sales, and Marketing teams with administrative assistance.
    • Manage conference room scheduling; train employees on electronic scheduling as needed
    • Update and review project Operation Maintenance Manuals
    • Develop and maintain office procedure and process handbooks.

    Qualifications and Skills:

    • High School Diploma or GED, some college preferred.
    • 3 years of administrative experience
    • High level of proficiency with MS Office Suite (Outlook, Excel, Word)
    • Familiarity with Bluebeam and/or Adobe Acrobat
    • Notary Public is strongly preferred
    • Exceptional communication skills, both written and verbal
    • Strong organizational skills and ability to juggle competing deadlines and projects
    • Flexible and adaptable: the ability to switch gears and work well within ambiguous circumstances
    • Ability to establish and maintain effective relationships with management, employees, vendors, and the customers.
    • Tactful, caring and diplomatic
    • Be a team player with a positive attitude
    • Ability to seek solutions and resolve problems independently
    • US work authorization
