Manages and meets proposal deadlines by establishing project priorities and due dates for the proposal. Being an RFP Manager collaborates and coordinates with internal contributors and subject matter experts to ensure content is complete, accurate, and maximizes business opportunities. Develops and establishes a repository of templates, standard language, product collateral, exhibits, and other data resources to create high-quality and accurate responses. The RFP Specialist will be responsible for managing and coordinating the entire RFP process, from initial request through to submission. Key Responsibilities:
RFP Management:
Review, analyze, and understand RFP requirements.
Coordinate with various departments to gather necessary information and content for the RFP response.
Develop and maintain a centralized database of RFP content, including templates, case studies, and other relevant materials.
Ensure all RFP responses are accurate, complete, and submitted on time.
Content Creation:
Write, edit, and format compelling and clear RFP responses.
Collaborate with subject matter experts to develop technical and solution-oriented content.
Customize standard RFP templates to meet the specific needs of each proposal.
Project Coordination:
Manage multiple RFP projects simultaneously, prioritizing tasks and deadlines.
Coordinate internal review processes to ensure quality and compliance with RFP requirements.
Track and report on RFP progress, including status updates and metrics.
Relationship Management:
Build and maintain relationships with key stakeholders, including sales, marketing, product development, and executive teams.
Communicate effectively with potential clients to clarify RFP requirements and gather additional information as needed.
Continuous Improvement:
Stay up-to-date on industry trends, best practices, and competitor offerings to enhance the quality and competitiveness of RFP responses.
Recommend and implement process improvements to streamline the RFP process and increase efficiency.
Qualifications:
Bachelor’s degree studies (completed or still in progress) in Legal, Information Systems or a related field.
Excellent written and verbal communication skills.
Strong project management and organizational abilities.
Proficiency in Google Workspace and other relevant software tools.
Knowledge of CRM and RFP management software is a plus.
Ability to work effectively in a fast-paced environment and meet tight deadlines.
