Position: Office Manager
Department: Administration Department

SUMMARY DESCRIPTION: The Office Manager will oversee the general administrative function and activities of the office.

ESSENTIAL DUTIES

• Performs or facilitates maintenance of office equipment including cleaning, maintenance, and repairs.
• Provides clerical support when needed to assist clerical staff with assigned administrative duties such as answering phones, sorting, and distributing mail, and preparing documents.
• Oversees petty cash fund.
• Maintains inventory of office supplies; orders new supplies as needed.
• Maintains office files; implements an efficient system for other staff to access files and records.
• Responsible for obtaining and storing login information for various sites.
• Verifies insurance benefits and eligibility.
• Obtains insurance authorizations
• Other duties as requested

MORE SPECIFICS ON THE JOB:

• Responsible for incoming/outgoing mail and distribution
• Responsible for vendor relationships for administrative supplies
• Responsible for tracking/auditing and replenishing petty cash fund
• Greets guests to the company

MINIMUM REQUIREMENTS:

• Ability to type at least 60 words per minute.
• Extensive knowledge of office management procedures.
• Excellent verbal and written communication skills.
• Excellent interpersonal and customer service skills.
• Excellent organizational skills and attention to detail.
• Excellent time management skills with a proven ability to meet deadlines.
• Proficient with Microsoft Office Suite or related software.

EDUCATION AND EXPERIENCE:

• High school diploma or equivalent required; Associate degree in office administration or related field preferred.
• At least three years of administrative and clerical experience required.

Physical Requirements:

• Prolonged periods sitting at a desk and working on a computer.
• Must be able to lift up to 15 pounds at times.
