Receptionist greets visitors and maintains visitor logs. Completes security procedures such as issuing badges or visitor passes. Being a Receptionist performs administrative activities such as booking meeting rooms, arranging transportation, receiving and sending mail and packages. Responds to internal and external inquiries. Additionally, Receptionist may provide back up for clerical projects or route phone calls. Requires a high school diploma or equivalent. Typically reports to a supervisor. The Receptionist works under the close direction of senior personnel in the functional area. Possesses a moderate understanding of general aspects of the job. The Receptionist is a member of the BNT team, supporting achievement of the mission: to lead, empower and strengthen Bridgeport’s neighborhoods. BNT provides comprehensive homeownership counseling including pre purchase, foreclosure prevention and rental counseling and develops and manages affordable housing. The Receptionist will work with the Executive Assistant in all aspects of administrative support.
Duties:
- Greet and welcome visitors in a friendly and professional manner
- Answer and direct phone calls, take messages, and provide information as needed
- Manage incoming and outgoing mail, packages, and deliveries
- Maintain office supplies inventory and place orders when necessary
- Performs intake of new clients and schedule initial appointment and additional follow up for programs and services.
- Assist with event planning and coordination
- Provide administrative support to various departments as needed
- Perform data entry tasks, including order entry and updating customer records
- Transcribe meeting minutes and other documents as required
- Coordinate projects and assist with project management tasks
- Provide personal assistant support to executives as requested
Qualifications:
- High School completion and a minimum of two years’ related experience or equivalent combination of education and experience
- Familiarity with Google Suite (Gmail, Google Docs, Google Sheets)
- Strong customer service skills with the ability to handle inquiries and resolve issues effectively
- Excellent organizational skills with attention to detail
- Ability to multitask and prioritize tasks in a fast-paced environment
- Computer literacy with proficiency in Microsoft Office applications (Word, Excel, PowerPoint)
- Strong written and verbal communication skills
Schedule:
40 hours per week, Monday – Friday 8:30 –5:00 with occasional flexibility when required.
