Receptionist greets visitors and maintains visitor logs. Completes security procedures such as issuing badges or visitor passes. Being a Receptionist performs administrative activities such as booking meeting rooms, arranging transportation, receiving and sending mail and packages. Responds to internal and external inquiries. Additionally, Receptionist may provide back up for clerical projects or route phone calls. Requires a high school diploma or equivalent. Typically reports to a supervisor. The Receptionist works under the close direction of senior personnel in the functional area. Possesses a moderate understanding of general aspects of the job.     Schedule: Every weekend, 2pm to 10pm 
     
     
    Position Summary: Provide professional coverage of the front desk and telephone system. Deliver exceptional, person-centered customer service in all aspects of job execution and performance.
     
    Essential Responsibilities:
    1. Receive, screen, route and direct telephone calls and in-person inquiries to all departments in a pleasant and professional manner.
    2. Greet and assist residents with daily needs.
    3. Sort inter-office and external mail.
    4. Assists in coordinating the emergency response system.
    5. Deliver and pick-up meal trays, replenish coffee shop supplies throughout the day and evening.
    6. Ensure the safety and cleanliness of assigned areas.
    7. Perform a variety of cleaning tasks such as vacuuming, dusting, mopping, and sweeping.
    8. Maintain the cleanliness of restrooms, coffee shop, lobby, entry ways, dining room, and exterior spaces/sidewalks. 
    9. Display excellent customer services skills by projecting a positive and cheerful demeanor with staff, residents, customers and vendors at all times.
    10. Assist in the set-up, take-down, clean-up and coordination of activities and events as needed.
    11. Make referrals to the Administrator regarding resident concerns and behavior issues.
    12. Develop and maintain professional and appropriate relationships and rapport with all residents, their families, and employees.
    13. Gather and input data for facility communication system.
    14. Responsible for consistent and creative update of bulletin boards throughout the facility.
    15. Scan and upload documents into resident clinical chart.
    16. Act as a first responder to emergency call system and fire alarm.
    17. Assumes all other position related responsibilities as assigned.

    1. Ability to complete multiple tasks with interruptions.
    2. Professional phone skills and appearance.
    3. Effective decision-making skills.
    4. Ability to effectively coordinate emergency and evacuation situations when necessary.
    5. Ability to speak clearly and distinctly when making announcements.
    6. Effective verbal and written communication skills.
    7. Ability to operate standard office equipment including fax, calculator, telephone, copier, audio visual equipment, etc.
    8. Computer literate and familiarity with Word, Excel, Email, Video Messenger, etc.
    9. Communicates effectively and tactfully, while recognizing age, cultural orientation, needs, abilities and physical condition.
    10. Ability to display a sense of caring, concern, compassion and dignity for residents.
    11. Ability to establish and maintain effective and professional working relationships with residents, families, visitors, and employees.
    12. Well organized and attentive to detail.
     
    Education, Training, Experience:
    1. High school graduate or successful completion of GED.
    2. Previous receptionist experience or training desired, preferably working with the elderly.
    3. Participates in learning and development opportunities.
    4. Attends all required training and departmental meetings.

    Nonessential Responsibilities:
    1. Rotating schedule which can include weekends, evenings and holidays.
    2. Practice the highest standards of ethics, honesty, and accuracy.
    3. Understand and support Resthaven policies and procedures.
    4. Assumes all other position related responsibilities as assigned.

    • While performing the duties of this job, there are no extreme temperatures or working conditions.  The employee may be exposed to weather conditions prevalent at the time.  The noise level in the work environment is usually moderate.
