Receptionist greets visitors and maintains visitor logs. Completes security procedures such as issuing badges or visitor passes. Being a Receptionist performs administrative activities such as booking meeting rooms, arranging transportation, receiving and sending mail and packages. Responds to internal and external inquiries. Additionally, Receptionist may provide back up for clerical projects or route phone calls. Requires a high school diploma or equivalent. Typically reports to a supervisor. The Receptionist works under the close direction of senior personnel in the functional area. Possesses a moderate understanding of general aspects of the job. Summary of Responsibilities
Answer telephone, greet clients and visitors, and advises proper party; receives and transmits messages; per- forms light clerical duties to support the daily business activities of the firm; receives and routes deliveries/faxes. Under supervision, performs clerical tasks involving filing, copying, mail assembly, typing, running errands, and other work as required and directed. Uses personal car.
Essential Functions
1. Answers telephones and places telephone calls quickly and efficiently, using a multiline telephone system.
2. Receives and transmits telephone messages accurately and promptly, using the telephone, fax machine, and photocopier.
3. Greets clients and visitors as soon as they arrive in the office in a professional and friendly manner, offers and serves coffee/tea.
4. Types various documents as requested accurately and timely, using word processing program.
5. Handles outgoing Federal Express, UPS, and other special shipments.
6. Performs other light clerical work such as envelope stuffing.
7. Delivers deposits to the bank; delivers and collects small packages to company offices, clients, and other business associates.
8. Operates all office machines, computer, and duplication equipment.
9. Seals envelopes by hand or machine, stamps letters, and weighs mail for proper postage.
10. Copies, collates, and binds typed materials.
Other Functions
1. Prepares daily deposit, runs tape using 10-key adding machine.
2. Notifies maintenance personnel of problems concerning heating/air conditioning, telephone, and plumbing.
3. Picks up mail each morning and delivers stamped mail to postal box at end of each day.
4. Stores supplies in supply room.
5. Other duties as may be assigned.
Job Qualifications
1. Ability to perform several tasks concurrently with ease and professionalism.
2. Ability to operate a multiline telephone switchboard.
3. Ability to read, write, speak, and understand English well.
4. One year’s experience as a receptionist.
5. Pleasant “telephone voice.”
6. Ability to operate general office equipment such as postage scale and meter, copier, binding machine, typewriter, calculator, multi-line telephone system, and computer.
7. Possesses a valid state motor vehicle operator's license (Class II), and a reliable, insured automobile.
8. Ability to keep a positive attitude.
9. Excellent communication skills.
