Additionally, Receptionist may provide back up for clerical projects or route phone calls. Requires a high school diploma or equivalent. Typically reports to a supervisor. The Receptionist works under the close direction of senior personnel in the functional area. Possesses a moderate understanding of general aspects of the job.     Receptionist
    All of the job duties and responsibilities within this document will be performed in accordance with
    established policy and procedure guidelines within the department and agency.
    SUMMARY OF RESPONSIBILITIES
    The Receptionist is responsible for providing administrative support for an assigned office or unit.
    REPORTING RELATIONSHIPS
    Reports to the assigned supervisor.
    EDUCATIONAL/EXPERIENCE REQUIREMENTS
    High School diploma required with an Associates or Bachelor’s Degree preferred. Additional training in office skills preferred. Knowledge of PC systems, preferably Microsoft Word required along with a typing speed of 40 wpm. Must have good attention to detail including the ability to work with numbers/statistics. Must be responsive to requests and staff.

    • spreadsheets.
    • Understands office systems and procedures.
    • Knowledge of office professional conduct.
    • Is competent in working with numbers and statistics.
    • Has a service approach with the ability to effectively communicate with both clients and staff

    • Ability to work independently and meet deadlines.
    • Ability to respond to the changing demands of the office and be flexible.
    • Ability to be prompt and dependable.
    • Ability to interact with staff in a way that develops an understanding and appreciation of cultural

    • Has a passion to provide administrative service to both clients and staff
    • Has an interest in Social Service and the mission of LCFS
    • Answers phones, takes messages for staff and provides general information for guests, visitors, staff and clients as necessary.
    • Establishes and maintains systems for assigned programs that: collect data on clients, services and outcomes; tracks related expenses and program statistics; and maximizes utilization of PC based systems.
    • Acts as a resource to staff in meeting administrative requirements.
    • Keeps supervisor informed of issues related to their area of responsibility.
    • Types letters, reports, forms and other tasks as assigned.
    • Maintains files and records.
    • Assists staff with supplies, mail, faxes, copies and other office tasks.
    • Assists with maintaining office machines and supplies.
    • Understands and observes Agency policies and procedures.
    • Presents a professional image for the Agency in job related contacts.
    • Facilitates communication for direct service staff, administrative staff and clients.
    • Provides assistance to staff as assigned.
    • Works on administrative projects as assigned.
    PHYSICAL AND SPECIAL DEMANDS
    To perform this job successfully, an individual must be able to perform the essential duties listed in the job description satisfactorily.
    While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to sit. The employee is occasionally required to stand; walk; use hands to finger, handle or feel objects, or controls; reach with hands and arms. Objects include a computer and keyboard, calculator, typical business machines such as a fax machine and copier. The employee must occasionally lift and/or move up to 15 pounds. Specific vision abilities required by this job include close vision, distance vision and the ability to adjust focus. The employee may work in and/or visit Agency offices throughout Illinois, as well as provide services in the community and must be able to transport him/herself to these sites. The employee is required to have a valid driver’s license and must be able to safely operate a motor vehicle. The work environment characteristics include a noise level which is usually low to moderate.
