Records Manager develops and manages the company records department and information management programs. Responsible for overseeing the storage, backup, maintenance, reproduction, protection, and disposition of all records. Being a Records Manager evaluates and recommends media formats and storage requirements to be used for records/information. Ensures that processes and policies that comply with all regulatory requirements for record retention are followed. Additionally, Records Manager designs and implements systems and processes to protect and secure critical records and information. Requires a bachelor's degree. We are currently looking to fill a Manager, Information & Records Management position. This position will manage and oversee the operations of the Information & Records Management group. This position will also provide global support.
In this role, a typical day might include the following:
Oversees the operations of the Rensselaer GMP Archives ensuring processes and procedures are adhered to, continuous improvement ideas are identified and pursued, and customer satisfaction is of the highest level.
Responsible for overseeing the condition and security of the archive infrastructure and archived documents.
Reports status of IRM processes and system performance and provides monthly metrics data for presentation to senior management.
Establishes and communicates group and individual goals for subordinates/group in accordance with site goals.
Implements and maintains record archives, develops and maintains archival systems.
Provides guidance to user departments in proper use of the records management systems.
Assists in administration of the records management system and ensures the system is optimized. and enhanced as needed.
Site lead for the Rensselaer IRM teams, projects, and initiatives
Provides staffing for projects that initiate in the user departments to ensure timely processing and to ensure that adequate resources are available to address the projects.
Frequently interacts with direct reports, customers and/or functional peer group managers.
May interact with senior management. Interactions normally involve matters between functional areas or collaborations.
Interfaces directly with regulatory or partner inspectors, as needed, to represent documentation system and record archival.
Manages several direct reports that may also have direct reports.
Counsels and coach employees about work performance; develops and delivers performance reviews.
Establishes and communicates group and individual goals for direct reports/group in accordance with site goals.
This role might be for you if you have:
Knowledge of and experience with Quality Management Systems and Continuous Improvement methodologies (e.g. Lean, Six-sigma). ASQ Green Belt or equivalent desirable.
Knowledge of and experience with Documentation management methodologies.
Knowledge of applicable federal, state and local laws, ordinances, statutes, regulations, rules, policies and procedures.
Ability to problem solve, design, optimize and implement processes and systems.
Skilled in motivating, communicating with and instructing/training others, using both technical and non-technical language to explain complex subjects and processes.
Comfortable making decisions independently but demonstrates good judgment in escalating issues to management and QA colleagues.
Has the ability to change the thinking of or gain acceptance of others in sensitive situations.
Ability to negotiate, influence and lead with and without direct line authority, and to engage others and lead an organization through continuous improvement and change is required.
Skill in analyzing information of considerable difficulty and drawing valid conclusions; researching and gathering information related to customers, processes, systems; and managing multiple projects.
Strong interpersonal and technical writing skills.
Ability to communicate effectively and manage multiple tasks and ensure on-time completion.
Working knowledge of electronic documentation, archival and quality management systems, MS O365
To be considered for this role you must hold a Bachelor’s degree in a quality/engineering/science discipline and the following amount of relevant experience for each level:
Associate Manager: 6 years
Manager: 7 years
Senior Manager: 8 years
Additional certifications appropriate to the job will be considered first (Certified Manager of Quality, Engineering, Black Belt, and/or Auditor). Experience of the overall product development process preferred.
Equivalent combination of education and experience may be considered. Level to be determined based on qualifications relevant to the role.
