Records Manager develops and manages the company records department and information management programs. Responsible for overseeing the storage, backup, maintenance, reproduction, protection, and disposition of all records. Being a Records Manager evaluates and recommends media formats and storage requirements to be used for records/information. Ensures that processes and policies that comply with all regulatory requirements for record retention are followed. Additionally, Records Manager designs and implements systems and processes to protect and secure critical records and information. Requires a bachelor's degree. Typically reports to a head of a unit/department. The Records Manager manages subordinate staff in the day-to-day performance of their jobs. True first level manager. Overview:
I am seeking a motivated self starter who is quick on the uptake in getting the projects assigned done in a timely manner. This is a contract only position until we have both had a good chance to know each other. You must have excellent skills in excel word and other office applications. We use google suite so knowing how to navigate that is a plus. I have several things that I am behind on that need completion quickly. I am constantly on the go so sometimes I'm hard to catch up with. I want someone with independence who can figure things out for themselves very quickly and who can respond to impromptu requests and situations.Flexibility and creative solutions to problems, systems and procedures will be a great help. As you work your way through the initial projects assigned, you will be evaluated as to whether or not you come on as a full time team member. Your location for work can be flexible as long as the assignments get done but about half the time will be mandatory to be in the office. We are fairly informal here, but this is a rather conservative office so dress appropriately with no exposed tattoos or facial piercings. People here are friendly and all have a good demeanor and we don't allow drama or gossip.
Duties:
Provide administrative support to the management team and staff
Complete tasks assigned in a timely manner
Code financial entries from bank records
Keep track of appointments and payment deadlines
Work with insurance and accounting firms to provide timely information
Organize filing of documents and document storage
Answer emails and calls
Manage calendars, schedule appointments, and coordinate meetings
Perform data entry and maintain accurate records
Experience:
- Previous experience as an administrative assistant or in a similar role is preferred
- Proficiency in using office software such as Microsoft Office Suite (Word, Excel, PowerPoint)
- Knowledge of QuickBooks or similar accounting software is a plus
- Strong typing skills and attention to detail
- Excellent organizational and time management skills
- Ability to prioritize tasks and meet deadlines
- Strong communication skills, both written and verbal
- Professional phone etiquette
