Job Overview:
We are seeking a detail-oriented and highly organized individual to join our team as a Public Records and Information Specialist. As a Public Records & Information Specialist, you will be responsible for managing and maintaining records in both physical and digital formats. This role requires strong attention to detail, excellent organizational skills, and proficiency in document management systems.
Responsibilities:
I. Records Management and Organization
● Administer public records requests through the FWPDA website; process and track requests received; analyze users’ needs for information; coordinate search and internal review of relevant records; prepare redaction logs and letters; coordinate with City Hall when required; monitor FWPDA’s compliance with Public Records Act.
● Develop and maintain short and long-term goals for FWPDA’s paper and electronic records management processes, filing systems, indexing, retrieval, retention, storage and disposal.
● Guide FWPDA staff and Board Members as needed regarding compliance with the Public Records and Open Public Meetings Acts, proper data management, sharing, storage, & disposal; coordinate with State archives as required and necessary to ensure FWPDA compliance.
● Oversee FWPDA’s document retention system and evaluate, revise, and implement new work plans as needed.
● Assist internal and external users of FWPDA information and data resources by retrieving, researching, reproducing, and re-filing documents and reference materials.
● Advise managers and staff on various records management-related requests, activities, and issues to include file management, equipment use, new technology, changes to records laws and regulations, or public disclosure requirements.
II. Public Meetings and Board of Directors Support
● Manage calendar and scheduling for FWPDA Board of Directors’ meetings and FWPDA reporting requirements; coordinate the FWPDA’s public meetings, by sending meeting invites/links and providing technical support for set-up and recording of public meetings.
● Coordinate the development and publication of the agenda and agenda packet for board and committee meetings; provide administrative support to the FWPDA Executive Director and Board Members as needed.
● Record and transcribe comprehensive meeting minutes at all public meetings to ensure compliance with the Open Public Meetings Act; review with Executive Director before publishing.
● Stay current on updates to the Open Public Meetings Act and Public Records Act.
● Update the FWPDA website with upcoming maters of public interest, newly elected board members’ biographies and contact information, board meeting dates, and board meeting recordings and transcriptions.
● Performs other related duties as assigned.
