Records Manager develops and manages the company records department and information management programs. Responsible for overseeing the storage, backup, maintenance, reproduction, protection, and disposition of all records. Being a Records Manager evaluates and recommends media formats and storage requirements to be used for records/information. Ensures that processes and policies that comply with all regulatory requirements for record retention are followed. Additionally, Records Manager designs and implements systems and processes to protect and secure critical records and information. Requires a bachelor's degree. Typically reports to a head of a unit/department. The Records Manager manages subordinate staff in the day-to-day performance of their jobs. True first level manager. Ensures that project/department milestones/goals are met and adhering to approved budgets. Has full authority for personnel actions. Extensive knowledge of department processes.   • The Manager of Medical Records is responsible for overseeing the efficient and accurate management of all medical records within the healthcare facility. This role requires strong organizational skills, attention to detail, and knowledge of relevant regulations and best practices in medical record management. This position requires travel to facilities in Albany, NY.

    Key Responsibilities:

    • Supervise a team of staff members involved in medical record management.
    • Oversee the electronic medical records (EMR) system, including user access, data entry, and system maintenance.
    • Coordinate with departments to facilitate the timely retrieval and filing of medical records as needed for patient care, billing, research, and legal purposes.
    • Monitor and track the flow of medical records throughout the facility, ensuring timely delivery to appropriate departments and personnel.
    • Train staff on proper medical record management procedures, including data entry, coding, and release of information.
    • Conduct regular audits and quality assessments of medical records to ensure compliance with regulatory standards and organizational policies.
    • Stay informed about changes in regulations and technologies related to medical record management, and implement necessary updates and training programs accordingly.
    • Serve as a liaison between the medical records department and other departments, as well as external organizations such as insurance companies and regulatory agencies.
    • Collaborate with IT personnel to troubleshoot technical issues related to the EMR system and other electronic record-keeping systems.
    • Participate in departmental meetings, committees, and projects as assigned.
    • Ability to travel locally to other facilities as needed

    Qualifications:

    • Bachelor's degree in Health Information Management, Healthcare Administration, or related field preferred. High School Diploma or equivalent required.
    • Minimum of 3-5 years of experience in medical records management, with at least 2 years in a supervisory or managerial role.
    • Strong knowledge of medical terminology, coding systems (e.g., ICD-10, CPT), and healthcare regulations (e.g., HIPAA, HITECH).
    • Proficiency in electronic medical records (EMR) systems and other health information technologies.
    • Excellent leadership, communication, and interpersonal skills.
    • Ability to prioritize tasks, handle multiple projects simultaneously, and work effectively under pressure.
    • Attention to detail and commitment to maintaining the confidentiality and integrity of medical records.
    • Familiarity with quality improvement methodologies and best practices in medical record documentation and management.
    • Demonstrated ability to collaborate with multidisciplinary teams and communicate
    • effectively with diverse stakeholders.
