Job Title: Records Specialist Supervisor
Department: Quality Control
Reports To: Aircraft Records Manager
ESSENTIAL DUTIES AND RESPONSIBILITIES
Duties and responsibilities include, but are not limited to:
1. Responsible for Records Department processes. Must identify any changes that will enhance departmental process quality, and submit Maintenance Program Revision Requests for applicable policy and procedure changes.
2. Reviews work cards; aircraft log sheets, service completion forms and other work accomplishment records to update required aircraft.
3. Develops and maintains a complete file system. Provides for both manual and automated record keeping.
4. Supervises the Records Specialist in the accomplishment of maintaining time records pertaining to flight equipment. Trains the Records Specialist in the use of the file system and the maintenance of computer records. Evaluates staff workloads and productivity, seeking new ways to improve accuracy of records and efficiency of request response time.
5. Provides established repetitive and non-repetitive record reports. Provides recaps, reports, or record copies when specifically requested by proper authority.
6. Supervises the security system for the records division by establishing and enforcing procedures to ensure that all aircraft maintenance records are handled and maintained as controlled documents.
7. Approves Records Specialist schedules and requests for time off.
QUALIFICATIONS
Demonstrated experience in related regulatory requirements and quality systems to support other departments. Previous experience and qualifications for process development and continuous improvement.
Demonstrated experience in problem solving with internal and external service providers Planning and organizational skills necessary to prioritize, assign and coordinate workload of assigned areas and employees within a multiple project setting.
Oral, written, presentation, problem solving and interpersonal skills necessary to effectively communicate, update, persuade, train, and/or facilitate discussions with all levels of employees, management.
EDUCATION and/or EXPERIENCE
Bachelor’s Degree in aviation, engineering or supply chain from an accredited university, preferred.
Computer knowledge of MS Office Components (Word, Access, and Excel) Adobe, and AMOS or other similar aircraft records tracking software. Minimum 8 years combined airline, MRO, OEM or other aerospace experience.
LANGUAGE SKILLS
Ability to read, write and understand spoken and written English. Ability to write routine reports and correspondence. Ability to give verbal and written direction to assigned staff.
