Recruiting Supervisor supervises the activities of the employment department. Oversees a company's recruiting programs, policies, and procedures to develop and utilize various sources of potential applicants to fulfill staffing needs. Maintains relationships with and visits high schools, trade schools, colleges, job fairs, and related venues as part of recruiting efforts. Additionally, Recruiting Supervisor, a level I supervisor is considered a working supervisor with little authority for personnel actions. May require a bachelor's degree.     SUMMARY

    This position provides administrative and technical support to the organization in support of talent acquisition and recruiting efforts. Works as part of the HR Department team with emphasis on talent acquisition and recruitment activities for Fairbanks Native Association.

     

    JOB DUTIES

    • Prepares recruitment materials and posts jobs to appropriate job boards, newspapers, and social media accounts, including internal distribution. Ensure job descriptions are current, and that information is correct before posting.
    • Utilizes the applicant tracking system to track applicants from the selection phase to interviews with the hiring managers. Performs an initial review of the applicant’s materials to ensure minimum qualifications are met and performs a pre-screening background check. Assists hiring managers as needed.
    • Provides a positive applicant and hiring manager experience and ensures regular updates are provided to candidates and hiring managers.
    • Assists applicants and employees with HRIS issues such as applying for positions and interpreting onboarding and hiring policies.
    • Communicates with applicants throughout the selection process and sends position-filled notification letters.
    • Assists HR team members in processing onboarding materials, offer letters, background checks, fingerprints, orientation scheduling, and filing.  
    • Presents information during new hire orientation and assists new employees with documentation requirements, as needed.
    • Partners with recruiting colleagues and hiring managers to improve recruiting processes and metrics. Develops relationships with community partners.
    • Creates and maintains job logs, maintains recruitment data, and generates reports.
    • Attends and represents the organization at recruiting events such as job fairs, conferences, seminars, and in-house recruitment events. Researches and recommends new and innovative methods for talent searches.
    • Maintains confidential personnel files including creating new files, updating existing files, and archiving when necessary.
    • Performs other job-related duties as assigned.

     

    NECESSARY KNOWLEDGE, SKILLS, AND ABILITY

    • Knowledge of LinkedIn as a recruiting tool, social media, and HRIS systems. 
    • Ability to conduct different types of interviews (structured, competency-based, etc.)
    • Firsthand experience with various selection processes (phone interviewing, Zoom or other video interviewing, reference check, etc.)
    • Passion for recruiting with an innate ability to instill enthusiasm for our company into all communications with a candidate. 
    • Ability to work independently as well as in teams with a high sense of urgency.
    • Excellent verbal and written communication skills with an emphasis on tact for diplomacy.
    • Excellent attention to detail and ability to type accurately.
    • Knowledge of customer service concepts and practices
    • Skill in operating computers utilizing a variety of computer software.
    • Skill in reports management, generating and using data reports. 
    • Skill in managing multiple priorities and tasks concurrently to meet deadlines.
    • Skill in establishing and maintaining cooperative working relationships with other employees.

    MINIMUM QUALIFICATIONS (Education & Experience)

    • High school diploma or equivalent
    • One (1) year of HR experience involving recruitment, employee relations, and/or other HR activity.

    PREFERRED QUALIFICATIONS (Education & Experience)

    • Associate’s degree in HR Management or related discipline
    • Two (2) years of HR experience including recruitment, employee relations, and/or other activity.
    • HRCI Associate Certified Professional in Human Resources (aPHR) or Society of Human Resources Certified Professional (SHRM-CP).

    WORKING ENVIRONMENT

    The work is generally sedentary, requiring routine walking, standing, bending, and carrying of items weighing less than 25 lbs. Most of the work is performed in an office setting with a wide variety of people with differing functions, personalities, and abilities. The office is a non-smoking facility with outside smoking areas. The work requires local travel between various program components of FNA which may involve exposure to extreme weather conditions. Works in an environment where the protection of client confidentiality is essential. Personal Protective Equipment will be provided where/when needed.

    SPECIFICATIONS

    Supervision Received:

    The position receives direct supervision from the Director of Human Resources; however, the incumbent is expected to effectively perform day-to-day activity as denoted within job description. Work will be monitored through weekly meetings, monthly reports, and regular communication with the Director. General guidelines for operations are based on program requirements and the general policies and procedures.

    Position Impact:

    Impact at the program level is high. Program’s level of compliance with program standards is directly affected by the effective performance of duties, especially as they relate to providing HR services to divisions and programs.
