Regional Administrative Manager manages the daily operations of an organization's staff and service functions. Oversees various internal service areas that typically include administrative/office/financial operations, facility maintenance/space planning, security, hospitality services, equipment and supply procurement, vendor management, and others. ESSENTIAL DUTIES PER AREA OF RESPONSIBILITY
1. Schedules Patient Care Services meetings; records, transcribes and distributes minutes as requested
a. Assist with retreat planning as applicable to include location, food, and projector
needs. Also assist with agenda development and readiness.
2. Coordinates VP Patient Services Calendar
a. Each week, review for the upcoming week and discuss potential conflicts for rescheduling
b. Each am, look at schedule to see if there are any opportunities (ensure not double booked)
c. At the end of each day, review next day schedule and print out daily schedule for VP of PCS.
d. Ensure HRRMC events are scheduled in (trac star ceremony, community events).
3. Distributes materials and information as requested to appropriate individuals prior to and
following meetings.
4. Generates reports as requested/required.
a. Monitors and tracks monthly credit card use and reconciles receipt for Patient
Services credit card.
5. Provides technical support to Patient Care Services Department
6. Develops and distributes copies of correspondence or other printed matter as may be necessary
7. Coordinates, updates, and provides support of PolicyStat and Meditract for PCS departments.
8. Assist with mailing employee recognition cards.
9. Ensure any needed supplies are ordered as requested and follow up to ensure arrival.
10. Coordinates candidates and the interview team as requested.
11. Updates Administrator on call manual and documents at least annually.
12. Cross train to support CEO Executive Assistant
13. Assists other VPs (Finance, Operations, Clinics) with calendar management, meeting
scheduling, and minutes.
14. Medical Staff Committee Meetings (Med Staff PI, Med Services/Trauma, Surgical Services, OB, IAG, Utilization Management, EKG, P&T):
a. Responsible for planning, preparing, maintaining, and disseminating the monthly
Medical Staff Meeting Calendar.
b. Prepares agendas, minutes, and any other applicable materials according to the
requirements of committee.
c. Provides agenda and copy of meeting materials to appropriate individual/s for review prior to meeting.
d. Assumes responsibilities for recording and transcribing accurate minutes.
e. Organizes and maintains original minutes in a confidential manner in coordination
with the Medical Staff Office.
f. Follows through on actions recommended at meetings; prepares necessary
correspondence; sends excerpts of minutes to appropriate individuals for further
action.
g. Responsible for scheduling rooms and ordering food/beverages.
h. Schedules ad hoc and other meetings, as necessary.
i. Emails meeting notices and reminders
