Regional Administrative Manager manages the daily operations of an organization's staff and service functions. Oversees various internal service areas that typically include administrative/office/financial operations, facility maintenance/space planning, security, hospitality services, equipment and supply procurement, vendor management, and others. Being an Regional Administrative Manager tracks capital and operating budget spending. Implements processes and policies that support efficient service delivery and meet the organization's changing needs. Additionally, Regional Administrative Manager sets performance goals and service targets for staff used to evaluate performance and to drive continuous improvement. Utilizes data analytics to measure activity and drive continuous improvement. Typically requires a bachelor's degree. Typically reports to top management. The Regional Administrative Manager typically manages through subordinate managers and professionals in larger groups of moderate complexity.     The Regional Office Manager is tasked with ensuring the effective operations of multiple office locations and leading the office team across various regions.

    Education & Experience:

    • Three (3) years prior management experience.
    • High school diploma or its equivalent.
    • General knowledge of spelling, punctuation, grammar, clinical records, and office procedures.
    • Basic knowledge of office machines. Basic knowledge of telephone skills. Aptitude or computer data entry and use of current software systems.
    • Ability to establish and maintain effective working relationships. Ability to meet the public and staff as a positive, friendly, and professional representative of the organization.
    • Effective social interaction, communication and organizational skills and the ability to perform a variety of tasks efficiently.
    • Personal car for travel and valid driver’s license and carry personal auto liability insurance coverage.

    Duties & Responsibilities:

    • Maintains confidentiality of patient information.
    • Maintains accurate up to date clinical records in accordance with regulations of Medicare and the Policy and Procedure Manual.
    • Overseeing the work of all office employees to ensure they work productively and meet deadlines and company standards.
    • Answers incoming calls and forwards to appropriate staff person or takes a message if the person is not available.
    • Manages incoming, outgoing, and interoffice mail.
    • Performs typing, faxing, and coping tasks as requested for various staff persons.
    • Inputs data into computer for billing purposes.
    • Orders and maintains accurate records of medical equipment and supplies.
    • Responsible for informing staff of any changes, updates, etc., regarding admissions, discharges, visits, schedules; and clinical meetings as directed by the Director of Operations and/or Executive Director.
    • Responsible for gathering and recording staff members’ DSRs.
    • Tracks admission, discharge, certification, and re-certification dates on all patients.
    • Responsible for assisting with audits of patient information.
    • Maintains accurate mailing lists of employees, patients; volunteers, Medical Directors, physicians, and nursing facilities and forwards any changes to the Corporate Office.
    • Reporting office progress to senior management and working with them to improve office operations and procedures.
    • Supervise and train all office personnel.
    • Performs other necessary functions/duties as assigned by the Program Director and/or Administrator.
    • Participates in and assists with community activities, i.e., health fairs, conventions, community education programs, etc. as assigned by Program Director, Clinical Director and/or Administrator.
