      • The Administrative Assistant position provides reception and customer service to both internal and external customers. The position provides support to the department by performing secretarial and miscellaneous administrative duties. This individual must continually strive to provide a professional environment for all customers while supporting the organization.
    • POSITION QUALIFICATIONS
      • Education and Experience:
        • High School Diploma or GED required. Graduate of an accredited college or university with an A.A. degree preferred. Experience using Microsoft Word, Excel, Access, Power Point, and Windows required. Previous secretarial experience preferred.

        • Effective interpersonal relationship skills including good listening and communication skills.
        • Ability to handle confidential information discreetly and appropriately.
        • Ability to adapt resources to meet the needs of the situation.
        • Ability to communicate effectively in variety of settings and with a variety of people at different organization levels.
        • Exercises good judgment, flexibility, creativity, and insight to problem-solving.
        • Adjusts to stressful situations with confidence and good judgment.
    • ESSENTIAL RESPONSIBILITIES
      • 1. Administrative Support Functions:
          • Provide direct administrative support to the department to ensure an efficient flow of information.
          • Coordinate and maintain schedule and calendar for the department.
          • Prepare various HR packets for benefits, orientation, employee health, etc.
          • Coordinate and prepare retirement parties for CRMC staff.
          • Oversee the tuition reimbursement program at CRMC and assist with and file related paperwork for the program.
          • Provide assistance with FMLA paperwork submission and eligibility notifications.
          • Schedule orientation and other meetings as needed.
          • Follow up with correspondence as required and deemed appropriate.
          • Assure first impressions in the department are exceptional.
          • Manage phone calls coming into the department to assist when possible or direct customers to the appropriate person.
      • 2. Records Management:
          • Pull and submit various created reports as needed for the department.
          • Coordinate the preparation of agendas.
          • Attend appropriate meetings to record minutes, transcribe minutes and distribute them to the appropriate parties.
          • Perform filing and maintains files while ensuring compliance with record retention policies.
          • Assist with verbal employment verifications.
      • 3. Technology:
          • Assist with creation or replacement of badges as needed for staff, students, contracted staff, or volunteers.
          • Answer multi-line phone system in a polite manner to assist with questions or direct the person to the appropriate individual.
          • Operate all equipment for this position and ensures an accurate amount of supplies to keep the machines or tools operational on a daily basis.
          • Use technology with the communications process to ensure consistency with the departmental goals of maximizing efficiency and customer service.
      • 4. Compliance:
          • Ensure licensure and certification information is entered into the performance management system for new hire and changes of status.
          • Record orientation competencies timely. 
          • Complete monthly required license and certification checks. 
          • Compile HR records for surveyors during accreditation/regulatory surveys.
          • As a Superuser on M-Files - ensure the system is accurate and up to date.
          • Ensure that information is scanned accurately and timely.
      • 5. Recruitment Back-up:
          • Assist the recruiter and/or recruitment assistant in scheduling interviews as needed.
          • Assist with conducting pre-employment testing.
      • 6. Confidentiality:
          • Handle confidential information in matters that pertain to the department and organization.
          • Maintain copies of all agreements and contracts for the department.
      • 7. Daily Operations:
          • Collect, sort, and distribute departmental mail and faxes.
          • Maintain proper inventory levels of the departmental supplies and order replacement items as necessary.
          • Organize, procure, and distribute office supplies for department employees.
          • General clerical support such as filing, faxing, copying, word processing and communications.
          • Provide a professional environment to ensure visitors and employees are dealt with in an efficient and courteous manner.
          • Perform other duties as assigned.
