The Regional Support Specialist (RSS) provides critical administrative, operational and customer service support to our Coldwell Banker Real Estate branch offices, leaders, and agents. The RSS is a dynamic, self-motivated coach whose primary responsibility is to help our agents live exceptional lives and make more money. This is achieved by being a subject matter expert in all the company business building and industry tools. Additionally, the RSS will host one on one and small group training, supporting the Managing Broker with agent recognition, acting as an accountability coach for the agents and being an in-office customer service culture champion.
Essential Job Duties:
Coaching to Confidence
Working with the Managing Broker, provide coaching to agents that are new to the business to include assisting with business plan development and implementation. Provide guidance on business building opportunities, answering all those “got a minute” questions on company tools/process (not contract questions, real estate commissions, etc.) supporting their relationship building within the office and our affiliated partners, etc. Follow-up with agents after the Managing Broker has worked with them to develop their business plan. Act as an accountability coach for each agents’ business goals.
Agent Support
Provide white-glove service for agents and clients visiting our offices, promoting the teams available to support them in their business.
Support Agents with any technology, process, or operationally related questions.
Promote a friendly, inclusive office culture that reinforces our agent value proposition.
Work with Agent Onboarding Team as needed to support agent onboarding process.
Branch Leader Support
Working with Managing Broker, help create and support in office events and agent recognition as well as partnering for regionally focused events. Be a customer service champion for all agents, employees and vendors that use our offices. Operate with a “concierge” mentality and prepare to support our agents with what they need each day.
Managing office social media accounts (Facebook, Instagram, Twitter, etc.)
Production Power
Act as a subject matter expert and provide training on our company marketing programs, systems, social media, industry tools, etc. in both small and large group settings as well as one on one. Champion the use of our affiliated support partners and reinforce the value with all our agents (in tandem with Managing Broker).
Office Organization
Help maintain physical office space. Make sure common areas remain neat throughout the day.
In collaboration with our facilities and IT partners, ensure all items in the office remain in working order.
Ensure needed office supplies are sufficiently stocked and organized, mail is distributed.
Greet and direct agents/customers as needed.
New Agent Affiliations:
Lead a seamless, comprehensive, and supportive onboarding process. Includes (but not limited to) conducting office orientation, training on company tools (i.e. MoxiWorks, Prospect Square, Listing Concierge, etc.), introducing our affiliated partners and how we support one another, etc.
Minimum Qualifications:
3 or more years customer service experience required; prior Real Estate office experience preferred.
Exceptional customer service skills and communication skills both written and verbal.
Technologically proficient in all areas including but not limited to familiarity with various operating systems on PCs and Macs and ability to navigate computer software.
Ability to learn new software programs on an as needed basis, skillful in using the following programs including, but not limited to: Microsoft office programs such as Outlook, Word, PowerPoint, and Excel (including utilizing templates and mail merge), and Adobe programs such as Adobe Acrobat
Ability to communicate effectively with different audiences, including agents, branch managers and operational support teams.
Customer focused, delivery oriented, ability to multi-task.
Willingness to be “nimble” and adjust priorities as needed.
Creative problem-solving and critical thinking skills.
Proficient and skilled in social media applications including Facebook, LinkedIn, Twitter, Instagram, company web pages, and MLS
Ability to multi-task, prioritize and be flexible with changing business needs in a team environment as well as manage deadlines and time constraints.
Ability to travel to additional offices in the region on an as needed basis
