    We are searching for an experienced Assistant Registrar: Systems & Reporting at our Arapahoe Campus facility.

    Position Title: Assistant Registrar: Systems & Reporting

    Reports to: Registrar
    FLSA Classification: Exempt/Salaried
    FTE: 100% (40 hrs/week)
    Compensation: $60,000 - $70,000 based on prior experience

    Job Summary
    The Assistant Registrar must maintain knowledge of registration, academic records, enrollment and admissions and support all Office of the Registrar duties. This position is responsible for a variety of data projects, reporting, and processes in support of the Registration office and the University. This position processes the National Student Clearinghouse enrollments and degree file submissions and evaluates registration and student experience efficiencies. In Registrar’s absence, the Assistant Registrar is the proxy authority in the department. Success in this role is assessed in two key areas of accountability: 1) Systems Maintenance, Policy, and Support. 2) Academic Records & Process Management.

    Job Duties & Responsibilities

    Key Accountability 1: Systems Maintenance, Policy, and Support (~ 60% of total effort)

    • Produce cyclical and on-demand reports from student information system (SIS) as needed for administrative and academic departments.
    • Remain current with federal financial aid regulations for enrollment and degree reports.
    • Execute accurate and timely submissions of enrollment/ degree data to the National Student Clearinghouse; assist with data gathering for yearly audits.
    • Troubleshoot data issues in the National Student Clearinghouse database and National Student Loan Data System (NSLDS) when needed.
    • Perform functional administrative duties in SIS, portal system, and document imaging system such as: registration tasks, table maintenance, and maintaining workflows.
    • Maintain awareness of new developments in Colleague platforms with an eye toward process efficiency.
    • Assess efficiency of processes and stakeholder satisfaction.
    • Assist with technology projects related to student academic record functions.
    • Enforce adherence to degree requirements and academic/university policies and compliance.
    • Build upon and support overall understanding of all administrative duties of office, assist in staff training as needed; assist students and faculty with registration concerns.

    Key Accountability 2: Academic Records & Process Management (~ 40% of total effort)

    • Collaborate to ensure data integrity of all registration/ student data in the database and data warehouse; serve on various committees as needed.
    • Oversee student files including filing systems, auditing files, document imaging, and archiving of student files.
    • Establish and promote a high level of customer service; maintain up-to-date working knowledge of admissions, academic programs, registration, and other university administrative processes.
    • Collaborate with Director of Institutional Research in institutional report building and distribution as needed for administrative and academic departments.
    • Apply technical solutions to simplify procedures and improve services.
    • Lead in becoming a paperless office.
    • Understand the critical business needs of office and determine changes towards efficiency.
    • Maintain strict confidentiality of student records and other materials of information of a confidential or sensitive nature as it relates to the Family Educational Rights and Privacy Act (FERPA) and data privacy regulations.

    Other Experience, Knowledge, Skills, or Competencies Requirements?

    • Working knowledge of Microsoft 365 suite of applications (including Outlook, Excel, Word, etc.)
    • Beginner to intermediate knowledge of Student Information Systems (SIS)
    • High attention to detail and accuracy
    • Sensitive to deadlines and timeliness in responding to/ following up on information requests
    • Able to engage in complex trouble shooting
    • Able to conduct independent research, analyze data, and overall flexibility in learning new technologies
    • Able to synthesize complex ideas and concepts to present/educate/train multiple audiences

    • Able to maintain privacy and confidentiality in all interactions as required
    • Diplomatic, sensitive, empathetic, and tactful when interacting with everyone internal and external to the university

    Educational degree/diploma required:

    • Bachelor’s degree in any field, special consideration for Liberal Arts or Education

    Minimum length of prior relevant professional experience required:

    • Three (3) years of experience in higher education administration function

    • Master’s degree in any field, special consideration for Computer Science or Education
    • Two (2) years of prior experience in college/university Registrar’s office and/or Power User systems experience
    • Experience with student information systems, specifically Jenzabar or Colleague
    • Knowledge of document imaging systems, scheduling software, reporting software

    A comprehensive benefits package is available to full-time employees who work a minimum of 30 hours each week.
