    SUMMARY:
    Keeps official animal records, maintains all state and federal permits associated with the animal collection, and submits annual reports. Complies and maintains records of business transactions, animal transactions and office activities.

    ESSENTIAL DUTIES AND RESPONSIBILITIES: include the following. Other duties may be assigned.

    Registrar Duties:

    • Maintain ZIMS animal records database and troubleshoot software problems. Correspond with curators, vet staff, zoo admin. staff and studbook keepers and generate requested information via various reports.
    • Serve as institutional representative to Species 360, receive and send correspondence and keep informed of latest updates.
    • Submit annual reports and permit renewals for state and federal animal permits and assure compliance with state and federal wildlife regulations.
    • Process pap·erwork for new permits as needed.
    • Prepare, record, track and file documents associated with animal transactions.
    • Arrange shipping of animals with airlines and ground carriers.
    • Prepare and send invoices for animal sales and shipping charges.

    Administrative Support:

    • Organize annual Christmas Party, order food, organize program and obtain supplies and door prizes. Set up and tear down tables and chairs, decorations, etc.
    • Organize annual Safety Breakfast, order food, and set up and tear down tables and chairs.
    • Receive quotes and assist with selection and ordering of computers, printers, and other electronic equipment.
    • Troubleshoot electronic equipment and Internet access issues and schedule and coordinate service calls from IT and/or service companies when needed.
    • Arrange and coordinate zoo-wide upgrades and updates of electronic equipment when needed.
    • Maintain employee email accounts, domain name registrations and website hosting.
    • Attend and participate in monthly safety committee meetings; maintain notes and information on unfinished and upcoming business.
    • Assist with presentation of monthly safety award (safety monkey) to winning department. Order pizza and arrange delivery.
    • Assist other members of safety committee with various tasks such as organizing annual safety training, annual safety breakfast, compilation of SDS notebooks, weekly safety training topics, etc.
    • Organize and schedule annual TB testing for animal staff.
    • Maintain petty cash fund.
    • Assist with obtaining photos and information for various marketing materials.
    • Assist with gathering and compilation of information for AZA accreditation applications every five years.
    • Maintain Facility Dude employee accounts and set up planned maintenance schedules. Clean up work order records as needed.

    Interns:

    • Post internship openings on AZA website and receive applications.
    • Review applications and select candidates for telephone interview.
    • Conduct telephone interviews and reference checks.
    • Select interns and make offers.
    • Send information packet and intern manual to interns.
    • Once intern arrives, schedule with HR to complete conditional offer of employment and forms for preemployment physical, drug screen and TB test and make appointment with UTHSC.
    • Conduct orientation with intern; obtain uniforms, keys, etc. Arrange for intern meet up with Supervisor of first day of work.

    Education, and/ or Experience:
    Bachelor's degree (B.S.) or equivalent from a four-year college; and two years of experience and/or training; or equivalent combination of education and experience. 1 year or more experience within the Zoo field.

    Interpersonal Skills:
    Ability to build and maintain effective working relationships with co-workers at all levels.

    Organizational and Time Management Skills:
    Ability to keep accurate and complete records in an organized useful manner. Ability to manage multiple competing priorities effectively.

    Mathematical Skills:
    Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

    Language Skills:
    Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability
    to effectively present information and respond to questions from groups of managers and the general public.
