Patient registration, billing, insurance verification, phone/fax management, may provide coverage for other locations as needed.
- Perform various clerical duties such as copying forms and mailing and faxing forms, etc.
- Provides necessary forms to patient for registration and reviews them for accuracy. Updates demographic information and review for accuracy. Notifies Provider that the patient is ready.
- Collect co-pays, deductibles & cash payments. Issue receipts for all patient payments. Assure receipt record balances with collections and specify DOS payment is to be applied to. Note check number, cash or visa as well as account number. Arrange for patient financial counseling as needed
- Answers telephone calls and practice professional courteous customer service in telephone communications. Routes messages to the appropriate person. Assure charts are pulled for phone messages in a timely manner. Retrieve phone messages from voice mail.
- Maintains patient/client confidentiality, relating to all areas of the patient/client’s information, medical records and personal health information. Pull the patients/clients medical records when test results become available.
- Coordinate the scheduling. Confirm next day appointments reminding patient to bring in a copy of their current insurance card, and all medications that they are currently taking. Inform them of any outstanding balance on their account, and request that they come prepared to pay their co pay/deductible or an agreed amount of any outstanding balance.
- Pull/prepare the medical record for the encounter and complete all necessary chart prep duties prior to patient appointment. Generate fee slip.
- Charges are posted each day, within specified time frame and correctly.
- When leaving in the evening: Assure that all equipment and lights are turned off, notify answering service that office is closed for the day, set alarm system and lock up the building.
- Maintains a clean and safe environment. Maintain competencies, follow all safety policies and procedures, and attend staff meeting and in-services. Strive to be a team player, and develop good working relationship with co-workers.
Job Qualifications
- Education: High school diploma or equivalent
- Experience/Skills: 1-2 years of medical office experience preferred.
- Essential Technical/Motor Skills: Extensive computer skills with familiarity of Microsoft Office applications (Word, Excel, Outlook) and billing related software; Proficient writing skills are required.
- Interpersonal Skills: Must demonstrate an ability to relate cooperative and constructively intradepartmental and interdepartmentally as well as with patient’s, employees, families, customers, co-workers, and physicians. Must be able to cooperate and work well with others in order to maintain a productive, team work atmosphere. Should include stability, flexibility, and dependability.
