Being a Registrar ensures that all requirements have been met prior to graduation and that diplomas are factually correct. Typically reports to a manager or head of a unit/department. The Registrar contributes to moderately complex aspects of a project. Work is generally independent and collaborative in nature.     Position Description
    The Administrative Assistant to the Registrar must demonstrate commitment to the mission of the University to educate the minds and hearts of its students in alignment with the Marianite charism. Supporting the Registrar and the Office of Academic Affairs, this position is responsible for the maintenance, accuracy, integrity, security, and storage of academic records as outlined by FERPA.

    Major Duties
    Major duties include:

    • greeting and helping students and visitors,
    • handling incoming emails, calls and voicemail,
    • maintaining accurate filing and retrieval systems,
    • scanning documents,
    • managing student work study employees,
    • providing information in accordance with FERPA guidelines and maintaining confidentiality,
    • assisting students with registration, transcript requests, and withdrawals from the University,
    • performing data entry,
    • assisting with special events, such as student activities, community activities on campus, Graduation Fair, Commencement Mass, Commencement, Registration events, Open House and New Student Orientation (Some events take place outside of normal business hours.),
    • maintaining coordination and good communication with other departments,
    • ordering and maintaining inventory of supplies,
    • maintaining the Registrar’s budget and submitting purchase requests,
    • taking minutes of meetings,
    • screening and distributing mail,
    • updating skills and knowledge of Microsoft Office applications such as Outlook, OneDrive, Word, Excel, and PowerPoint, and Google Cloud Storage, Drive, Docs, Slides, and Sheets, and
    • completing other related duties as assigned.

    Qualifications
    The position requires a student-centered attitude in accordance with the Marianite charism, exceptional interpersonal and customer service skills, excellent verbal and written communication skills, ability to work well under pressure, ability to work effectively with a wide range of constituents, and strong ability to establish and manage priorities and deadlines. A bachelor’s degree is preferred. Experience as an assistant in higher education or a related field, familiarity with student data and enterprise management system, experience retrieving and reporting student information from a student information system as well as the Student Clearinghouse, National Student Loan Data System, and IPEDS are preferred. Must be able to work independently with minimal supervision and also collaboratively across offices at the University.
