Registrar oversees university/college's system of student records. Responsible for class registration, assigning classroom space, and updating student records. Being a Registrar ensures that all requirements have been met prior to graduation and that diplomas are factually correct. Determines students who have achieved certain scholastic goals, such as the Dean's List. Additionally, Registrar requires a bachelor's degree. Typically reports to a manager or head of a unit/department. The Registrar contributes to moderately complex aspects of a project. Work is generally independent and collaborative in nature.       Primary Purpose:

      Responsible for maintaining student records at the campus level. Process student enrollment transfers, and withdrawals for the campus.

      Qualifications:
      Education/Certification:
      High school diploma or GED
      Candidate must have satisfactory outcome of fingerprinting background check. Non-refundable fee (approximately $50.00) paid by the employee

      Special Knowledge/Skills:
      • Ability to maintain accurate and auditable records.
      • Ability to use personal computer and software to develop or maintain spreadsheets, databases, and do word processing.
      • Proficient keyboarding and file maintenance skills
      • Basic math skills.
      • Strong organizational, communication, and interpersonal skills.

      Experience:
      • Three years clerical experience

      Major Responsibilities and Duties:

      Records, Reports, and Correspondence

      • Maintain physical and computerized records including student cumulative folders, progress and failure reports, class rosters, schedule changes, and grade books.
      • Process new student records, including requesting transcripts and records from other schools, setting up cumulative folders, and entering student data into appropriate databases.
      • Coordinate grading process, including processing of scan sheets, verification and correction of grades, and printing and distribution of reports cards.
      • Process and transmit requests for student information, including student transcripts for colleges and universities.
      • Prepare and distribute University Scholastic League (UIL) eligibility lists.
      • Calculate grade point averages, class rank, and prepare honor rolls.
      • Assist counselors with the enrollment, withdrawals, and transfer of students and process applicable records.
      • Assist campus administration and counselor with the preparation of reports and student data information.

      Other

      • Prepare and distribute student identification cards, bus passes, and parking stickers.
      • Coordinate the ordering and distribution of all graduate materials, including caps and gowns and diplomas.
      • Maintain confidentiality of information.
      • Complete other job related duties as assigned by the Principal.

      • Tools/Equipment Used: Standard office equipment including personal computer and peripherals
      • Posture: Prolonged sitting; occasional standing, walking, bending/stooping, pushing/pulling, crouching, and twisting.
      • Motion: Repetitive hand motions; frequent keyboarding and use of mouse; occasional reaching; Sensory ability needs-hearing, near vision, far vision, peripheral vision, individual color distinction, depth perception.
      • Lifting: Occasional light lifting and carrying (less than 15 pounds)
      • Environment: May work prolonged or irregular hours; exposure to occasional cold and heat.
      • Mental Demands: Work with frequent interruptions; maintain emotional control under stress
