Registrar oversees university/college's system of student records. Responsible for class registration, assigning classroom space, and updating student records. Being a Registrar ensures that all requirements have been met prior to graduation and that diplomas are factually correct. Determines students who have achieved certain scholastic goals, such as the Dean's List. Additionally, Registrar requires a bachelor's degree. Typically reports to a manager or head of a unit/department. The Registrar contributes to moderately complex aspects of a project. Work is generally independent and collaborative in nature.   • Creswell School District is seeking highly skilled candidates for a Secretary II: Office Manager/Registrar for the 2022-23 school year at Creslane Elementary School. 

     

    Position begins August 2022 and follows a 218 day calendar.

     

    Position open until filled. Applicant screening begins April 15, 2022

     

    Secretary II

    Position: Office Manager / Registrar 

    Reports to: Building Principal

     

    Job Goal:

    Perform a variety of clerical and secretarial functions in support of the office of the Principal. 

    Manage records for incoming and outgoing students. 

    Perform bookkeeping functions related to building budget, student body funds, fundraising, etc. 

    Greets students, staff, and parents and respond to their requests in a courteous and willing manner.

     

    Education and Experience: 

    High School diploma or equivalent required

    College Degree preferred

    Prior secretarial experience preferred

     

    QUALIFICATIONS:To perform this job successfully, an individual must be perform the below qualifications satisfactorily. 

    • Professional knowledge of English, spelling, composition, grammar and punctuation 
    • Knowledge of current office practices, procedures and office management. 
    • Knowledge of standard office equipment and machines 
    • Knowledge of record-keeping and reporting procedures 
    • Proficient in computer software/hardware programs and web-based student information systems, including speed and accuracy in learning to use such applications.
    • Be well-organized, collaborative, able to multitask, and attentive to details.
    • Complete tasks independently under pressure
    • Maintain reliability and confidentiality. 
    • Maintain effective, positive relationships with students, staff and the general public.

     

    JOB DUTIES AND RESPONSIBILITIES:  

    Registrar:

    • Maintain student records through use of the web based information system, including but not limited to grades, testing data, transcripts, schedules, enrollment information, basic student information, and withdrawal information. 
    • Maintains school or district record-keeping and filing systems associated with a variety of functions, including files confidential in nature.
    • Enroll students and process student records and transcripts, sending records for transferring students following Family Educational Rights and Privacy Act (FERPA).
    • Working knowledge of board policies, enrollment and withdrawal procedures. 
    • Prepare data for the purpose of accurate and clean rollover at year-end.

    Office Manager:

    • Sound skills in the area of data entry and record keeping 
    • Devises new forms, formats and procedures, as necessary. 
    • Coordinates the distribution and inventorying of school or office supplies in accordance with budgeted amounts. Orders, receives, distributes and inventories instructional and/or office supplies/materials, as requested.
    • Prepares purchase orders, records expenditures by proper account, and monitors expenditures against budget resources
    • Provides expenditure data for budget preparations and assists the Principal with budget preparation. 
    • Collects, receipts and deposits revenues received.
    • Handle student fees and maintain all bookkeeping records for student funds.
    • Maintains employee attendance records for payroll purposes that go to the District Office.
    • Arranges for substitute teachers from established lists using AESOP.

    Required:

    Successful completion of clean background check including fingerprinting

    Obtain and possess a valid first aid card 

     

    Hourly Scale according to bargaining agreement with Oregon School Employees Association (currently negotiating).
