    Job Summary

    The primary responsibility of the Order Liaison Specialist is order management & system data accuracy. This is managed by speaking with vendors regularly to receive consistent, valid order updates, and holding our vendors accountable when production schedules change. All updates received must be recorded into our system correctly. The information managed by our Order Liaison Specialists gets directly shared with clients and vendors so attention to detail is of the utmost importance. The Supply Chain Specialist role is critical to the success of the Project Services team. Our company is looking for motivated people who consider themselves high achievers.

    Core Job Responsibilities

    Core job responsibilities include but are:

    • Verifying all order acknowledgements and proforma invoices for accuracy.
    • Do not just "push paper". Thoroughly examine all documents for accuracy
    • Maintaining the shared email folders
    • Managing several reports daily, and follow-up appropriately to keep the data in our computer system updated.
    • Establish and maintain relationships with third parties/vendors
    • Maintain Vendor Portal information coming in and going out
    • Keeping daily verbal contact with vendors to confirm that our orders are being processed to meet our requested delivery dates.
    • Identify “connecting risks” in the event that one order may impact delivery/installation of another order.
    • Following up with vendors when updates received are questionable or require improvement.
    • Requesting freight quotes
    • Utilize HFD’s proprietary software appropriately to manage system updates and communication
    • Communicating with clients regarding order updates on some projects
    • Communicating directly with carriers/customers, shippers/receivers and/or investigators.
    • Provide support when needed to Project Managers, Logistics/Delivery Specialist & Claims Specialist.
    • Pitch in with general office duties to keep things running smoothly.
    • Other duties as required.
