Rehabilitation Services Supervisor is responsible for the day to day operations of the rehabilitation therapy function. Supervises the delivery of therapy programs to patients.   • Job Title: Physician Services Supervisor Job Location: Coverage for Lincoln & Omaha campuses Immediate Supervisor: Physician Services Manager Status: Non-Exempt JOB OVERVIEW Under the direction of the Physician Services Manager, responsible for coordination of daily procedures to ensure efficient and accurate operations of Physician Services front office activities. Responsible for patient reception, registration, and scheduling in the physician outpatient clinic. Responsible for appointment management and coordination for all patient registration activities to ensures efficient operations of the outpatient clinic and physician schedule. This includes: setup and coordination of patient appointments seen in the clinic, patient referrals for services to outside clinicians/hospitals, relaying internal requests for Physiatrist consults, Hospitalist consults, Optometry consults , and Infectious Disease. Maintains appropriate data tracking steps for key factors such as appointment cancellation/no-show trends, consultation frequency, and physician administrative hours. Responsible for supporting billing functions of Physician Services by verifying outpatients’ insurance and assuring all registration and billing information is accurately recorded and forwarded to the billing department. ESSENTIAL FUNCTIONS (INFORMATION) 1. Under the direction of the Physician Services Manager ensures efficient operation of the activities of clinic scheduling, patient registration, reception, insurance verification and demographic input at all Physician Services locations. 2. Assists with front office staff orientation and mentoring for the development of customer service and scheduling skills. 3. Provides schedule maintenance for physicians and patient appointment grids. 4. Maintains coordination of patient registration activities to ensure efficient operations of the outpatient clinics, physician’s schedules at the main clinic offices and coordination with other departments and outstate clinics. 5. Performs duties of the Physician Office Assistant as per job description. This includes; setup and coordination of patient appointments seen in the clinics, patient referrals for services to outside clinicians/hospitals, notice of consultation requests for physicians in inpatient setting for physiatrist, infectious disease, neuro-optometry and hospitalists. 6. Responsible for supporting billing functions of Physician Services by verifying outpatient’s insurance, assuring all registration and billing information is accurately recorded and forwarded to coding/billing. 7. Coordinates the scheduling processes and communication of physician needs at other points of service for physician services (main, Omaha scheduling area, outstate clinics). 8. Monitor and assist in tracking of physician’s administrative hours and schedule upkeep of meetings. 9. Serve as coordinator and point of contact for outstate clinics 10. Assist manager in developing and analyzing performance measures as per data and scheduling input reports. 11. Contribute to the developing, writing and implementation of policies and procedures to promote consistency of operations. 12. Assist with the training of others as requested in other departments coordinating care and data needs of Physician Services. 13. Provide backup assistance and cross coverage for IME coordinator. 14. Assist clinical staff with prior authorizations as needed. 15. Assist work comp clinical coordinator with authorizations, communications and documentation as needed. (PEOPLE) 1. Greet visitors and clients, in a hospitable manner to determine specific needs, refer to proper staff to ensure quality service delivery. 2. Serve all customers in person or on the telephone to ensure quality service delivery. 3. Communicate effectively with internal/external customers, peers, patients and physicians and staff to ensure quality customer service and optimizing schedules Responsible to assist in effective and efficient complaint resolution. 4. Keep aware of what patients are present and waiting, and assist Medical Assistants in reducing wait time. 5. Communicate regularly and effectively with Clinic Manager and other outpatient supervisors in order to achieve identified goals and objectives 6. Plan, coordinate and schedule new staff for front office orientation and provide advice and guidance for new staff members 7. Follows instruction from manager to perform other functions as assigned in order to achieve the goals within the department. 8. Collaborates with other clinic staff which contributes to the development of a positive team environment and capitalizes on the strengths of all team members to deliver successful outcomes. QUALIFICATIONS EDUCATION: Required - High school equivalency with one (1) year post high school education. Will consider additional work experience in lieu of post high school education. EXPERIENCE: Required - Two years’ experience in related area such as unit secretary, CNA, medical reception or medical record assistant or office management required. SKILLS: Required - Must have excellent customer service and organizational skills. Must have ability to operate standard office machines, personal computer and knowledge of basic software programs. Knowledge of medical terminology is required.
