Summary: The Grants Reimbursement Clerk position plays a critical role in supporting the

financial operations of the grants management process. This position is responsible for

accurately and efficiently processing grant reimbursements, ensuring compliance with

funding guidelines, and maintaining organized financial records related to grants. This

position collaborates with external agencies to facilitate smooth reimbursement processes.

Duties and Responsibilities:

• Prepare and submit draw requests to grantors in a timely manner including hard cost

or construction, classes, soft cost, administrative expenses, or delivery fees.

• Make copies of invoices, checks and any other required documents to support the

reimbursement draw.

• Ensure that reimbursement requests align with the approved budget and comply

with funding source guidelines.

• Interact with funding agencies, and grantors to address reimbursement-related

inquiries, provide necessary documentation, resolve any financial compliance issues

and/ or discrepancies to facilitate and expedite the reimbursement processes.

• Prepare and generate regular reports on grant reimbursement activities for

management and funding agencies.

• Review contractor’s invoice and draw packages to ensure accuracy and

completeness. Verify that the draw package includes all required documentation and

signatures before approving payment.

• Collaborate with the construction department to ensure the necessary lien waivers is

obtained and signed by contractor when disbursing the check.

• Scan, organize and maintain digitize payable documents, such as copies of checks,

invoices, and receipts, to ensure accurate recordkeeping and easy retrieval.

• Monitor and manage corporate credit card expenses, ensuring accuracy and

compliance with company policies and procedures.

• Review and reconcile credit card statements, receipts, and invoices to ensure proper

documentation and timely payment.

• Process and deposit incoming cash, checks and other forms of payment into

company’s designated bank accounts.

• Provide coverage for the receptionist role as required, ensuring smooth operation of

front desk activities during absences or busy periods.

• Annually boxing all accounts payables and payroll documents for storage.

• Carry out additional duties as assigned.

• High School diploma or general education degree (GED) or higher; and one to three

• Knowledge of Microsoft Office, and proficiency with email required

• MIP Fund Accounting a plus

Supervisory Responsibilities

• This position does not supervise others.
  

Compensation and Benefits

• $13.43 per hour
