      PRIMARY PURPOSE: Provide clerical and office management services to the Department of Special Education .

      QUALIFICATIONS:

      Education/Certification: High school diploma required, some college preferred

      Special Knowledge/Skills: Exceptional customer service skills

      Proficient keyboarding, and file maintenance skills Effective organizational, communication, and interpersonal skills Ability to use personal computer and software to develop spreadsheets, databases, and do word processing.

      Must be proficient with Excel, Publisher, and Adobe.

      Must have experience with Skyward

      PEIMS experience preferred

      Experience: Three years secretarial experience, preferably in a public education environment

      MAJOR RESPONSIBILITIES AND DUTIES:

      1. Prepare correspondence, forms, manuals, report cards, handbooks, purchase orders reports, requisitions, budgets, and other documents using a personal computer.

      2. Perform a wide variety of clerical support, including answering phones, recording messages, typing a variety of materials from brief verbal or written instructions, proofreading, filing and sorting, handling all incoming and outgoing calls & mail, and keep the Director of Student Services informed.

      3. Assist in compiling information and preparing reports for the department. Provide administrative support to program director including, but not limited to, preparation of presentations, calendar management, and correspondence to staff, parents, students and community members.

      4. Maintain physical and computerized files. Complete a high volume of computer data entry work, using district computer programs, to input data with speed and accuracy, including confidential data, in an environment with constant interruptions.

      5. Compile, type, print, and distribute student handbooks, teacher handbooks, and special program material, including the digital publication of handbooks.

      6. Provide oversight of special projects.

      7. Maintain confidentiality of information.

      8. Schedule appointments and maintain director’s calendar.

      9. Make conference registrations, keep meals/ mileage logs and other reservations for director(s).

      10.Coordinate with director to prepare contracts, obtain signatures, and prepare requisitions.

      11.Order and receive supplies and instructional materials. Arrange for delivery of said items. Work with business office in clearing purchase orders and reconciliation.

      12. Independently answer routine questions and correspondence not requiring the supervisor’s attention.

      13.Other task and duties as assigned.

      SPECIFIC DUTIES:

      • Serve as back up for other related positions in the department
      • Serve as the direct communication link between the department, the school staff, district staff, community, and parents
      • Maintain files and documents related to Student Services, Records, School Health, and PEIMS
      • Answer telephone and receive visitors
      • Have the ability to prioritize tasks, work independently, handle multiple tasks simultaneously, and be able to synthesize the big picture/goals of the Department in to the specific task required to reach the objectives
      • Greet visitors and respond to routine inquiries from staff and public; refer appropriate inquiries or problems to Director of Student Serrvices
      • May be required to work overtime, with prior authorization.

      EQUIPMENT USED:

      Personal computer, printer, scanner, fax, and copier.

      WORKING CONDITIONS: Mental Demands: Communicate effectively (verbal and written) and ability to operate personal computer. Maintain emotional control under stress. Physical Demands/Environmental Factors: Repetitive hand motions; prolonged use of computer, ability to move and stack heavy materials (up to 50 pounds).
