    Key Responsibilities:

    • Office Administration: Oversee daily administrative tasks such as answering phones, managing emails, scheduling appointments, and maintaining office supplies.
    • Project Documentation: Assist in the organization and management of project documentation including contracts, permits, and invoices.
    • Client Communication: Serve as a point of contact for client inquiries, providing excellent customer service and ensuring client satisfaction.
    • Financial Management: Utilize QuickBooks for basic financial tasks including invoicing, accounts receivable/payable, and generating financial reports.
    • Coordination: Collaborate with project managers, subcontractors, and vendors to ensure smooth project coordination and completion.
    • Record Keeping: Maintain accurate records and files both electronically and physically, ensuring easy retrieval when necessary.
    • General Support: Provide general support to the team as needed, contributing to the overall efficiency and success of the company.

    Qualifications:

    • Experience: Previous experience in office management or administrative roles, preferably within the construction or remodeling industry.
    • Organizational Skills: Strong organizational abilities with attention to detail and the ability to multitask effectively.
    • Communication: Excellent written and verbal communication skills, with the ability to interact professionally with clients and team members.
    • Proficiency in QuickBooks: Basic understanding and experience using QuickBooks for financial management tasks such as invoicing, billing, and general data entry.
    • Computer Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software.
    • Problem-Solving Skills: Ability to identify issues and propose solutions in a proactive manner.
    • Team Player: Collaborative attitude with the ability to work effectively within a team environment.
    • Adaptability: Willingness to adapt to changing priorities and work in a fast-paced environment.
    • No Criminal Background: Candidates must have a clean criminal record with no history of felony convictions or serious misdemeanors. A background check may be conducted as part of the hiring process to ensure compliance with company standards and industry regulations.
    • Education:
    • High school diploma or equivalent required. Additional education or certification in office management or related field is a plus.

    Preferred Qualifications:

    • Experience with a construction project management software, particularly "Buildertrend", is highly desired.
