Responsibilities include, but are not limited to:
- Post collections to the computerized property management system and monitor it with up-to-date data entry.
- Efficiently process and file forms and documents as necessary, maintaining confidentiality of personnel and residents.
- Maintain thorough knowledge of lease terms, specifications, amenities, rates, sizes, and locations of property and all community policies.
- Develop full knowledge of application information required, screening processes and policies regarding rentals.
- Conduct all initial certifications, annual re-certifications, and interim certifications. Audit all move-in files and assist with move-in certifications and qualifications as needed.
- Regularly review Recertification schedule to ensure all re-certifications are processed at least 60 days prior to the effective date of the certification.
- Prepare and execute all required notices, interviews, verifications of household information, and completion of the Tenant Income Certifications.
- Pull EIV reports for all move-ins; and follow up on EIV reports per policy including the resolution of EIV discrepancies.
- Review and monitor compliance policies and procedures on property wait lists, and communicate any items of concern.
- Maintain a schedule/calendar of required compliance reporting due dates for multiple funding and government agencies.
- Attend training seminars and events related to various funding programs with the Community Director’s approval.
- Utilize and maintain all data in OneSite property management system.
- Responsible for maintaining a professional appearance and attitude at all times.
- Work with Community Director and other office personnel to assist in daily administrative tasks.
- Build and maintain databases that include: tenants, vendors, local resources, prospects, etc.
- Maintain an operations manual that documents all systems, processes and standards.
- Keep the Community Director informed regarding any problems or issues that need to be addressed.
- Assist in preparing marketing materials for Leasing purposes.
- Assist in annual recertification process by completing and filing compliance documents.
- Act as point of contact for any printed resident correspondence, such as regular newsletters, flyers, etc.
- Act as point of contact for any other office inquiries.
- Assist the Community Director with various administrative duties crucial to the operation of the community.
- Effective and timely communications with Community Director and other staff members.
- All other administrative tasks as deemed necessary by management and ownership required to operate the property as efficiently as possible.
