    Job Summary

    As part of the Administrative Support Services Team, this position provides administrative support/assistance to help ensure the smooth functioning of the PPL Service Center and front desk. In addition, the Sr. Administrative Assistant provides executive support to the VP of Housing Operations and the VP of Real Estate Development.  The role serves to ensure that the executives maximize their time and focus to achieve the greatest organizational impact.  The Sr. Administrative Assistant is responsible for relationship management, schedules, research, and assistance in prioritizing the short, mid-term, and long-term work of the executives. 

    Essential Duties and Responsibilities: 

    • Serves as the primary backup support to the front desk as needed, including greeting visitors, switchboard, processing mail, etc.
    • Manage executive calendars and schedules according to previously determined priorities; schedule appointments, meetings, conferences, and make travel arrangements.
    • Prepare for meetings and events: conduct research/analysis needed, prepare/collect material, create presentations, agendas; provide supplies, refreshments: ready room and tech set up, etc.
    • Provide internal/external relationship management support to enable executives to cultivate, facilitate and manage key relationships and projects with staff, Board of Directors, funders, partners, and key constituents.
    • Code, pay, and research invoices while maintaining good vendor relationships.
    • Assist in implementing meetings and special events such as all-staff meetings and retreats.
    • Along with other members of the administrative support services team assist with mailings, filing, organizing supplies and general office maintenance.  Also help with the maintenance of the conference rooms, employee kitchen, coffee areas, lobby, and other common areas of the building.
    • Special projects & other administrative tasks as assigned.

    Supervisory Responsibilities:

    This position has no employee supervisory responsibilities. 

     Minimum Requirements:

    • Strong communication & critical thinking skills.
    • High proficiency with Microsoft Office Suite. 
    • Excellent organization & time management skills; ability to prioritize and handle multiple tasks and longer-term projects with a focus on achieving results.
    • Keen attention to detail; ability to perform administrative duties quickly and accurately without immediate and constant supervision.
    • Ability to take initiative and work independently and as part of a team; view role as supporting the whole and integral to the team’s effectiveness.
    • Ability to maintain a good working relationship with all coworkers, Board Members, and external stakeholders and use good judgment in recognizing the scope of authority.
    • Proven ability to meet and manage deadlines.
    • Valid Minnesota driver’s license with a good driving record (consistent with PPL’s driving policy), and own a reliable vehicle.

    Education and/or Experience:

    • High School Diploma or G.E.D., post-secondary education preferred.
    • Must possess a minimum of 3 years’ previous Administrative Assistant experience.
    • Experience and high proficiency with MS Office Suite.

     Hours: Monday- Friday; 8:30 am - 5:00 pm 

    Salary: $26.00 - $30.00  Hr., DOQ
