    Job Responsibilities


    This position is responsible for the coordination, implementation, and oversight of creative, customizedcommunity events. In addition to event planning and execution, this position is to provide timely andaccurate day to day management and support of the communication needs of the Regency at FolsomRanch Association. Focus will include but not limited to, the weekly publication of a communitynewsletter, the maintenance and communication of a community planning calendar and maintaining theaccurate event information on the Association's mobile Alosant app. This position is also responsible forregular and comprehensive reporting of planning schedules; budget tracking updates; event summariesand evaluations; and successfully communicating to and collaborating with management, HOAmanagement and community residents.


    Essential Duties & Responsibilities

    • Work closely with the General Manager and the Board of Directors to plan and implementcustomized large-scale events and smaller neighborhood activities to create an on-going socialactivity calendar customized for the Regency at Folsom Ranch Association.
    • Create and maintain accurate documentation for all community program plans, to includeevents scheduling; vendor contracts; budget management detail; event summary reports; all tobe updated and summarized monthly, reported to the General Manager and the Board ofDirectors of the HOA.
    • Assist in managing all agreements to ensure that they are executed and implementedappropriately between all organizations and that the financial obligations are accuratelyrecorded.
    • Budget management detail to include performing monthly reconciliation of association spendingusing debit cards (p cards) and reported to General Manager.
    • Prepare and maintain an accurate master community event calendar and effectively distributethe calendar to all staff members, the HOA Board, and post throughout the community. Usecommunity communication tools to circulate up-to-date community planning calendars.
    • Create regularly scheduled community communications (e-mail blasts), to include weekly
      activity updates; event planning updates for residents; important community news; Board and
      Committee updates; and any necessary resident communications. Ensure these communications
      are accurate and timely.
    • Embrace and maximize the “committee” environment under which this position must operate
      under by motivating and utilizing volunteer resources available to plan and execute Lifestyle
      events and activities; collaborating with staff and HOA management on deliverables and
      expected results.
    • Identify, ensure approval, hire, and oversee performance of all vendors for events and programsin accordance with approved policies and procedures, including review of all vendor invoicesprior to payment.
    • Create event database that reviews attendance; cost per person; which events were the mostpopular; what times and dates work the best; and continued level of interest. Ensure that thisinformation is utilized when planning future events.
    • Maintain the Facility Rental Reservation Program, including managing the reservation calendar,receiving rental fees and deposits, and performing pre and post inspections of rented facilities.
    • Maintain a positive working relationship with the General Manager and staff, responsible for theoverall management functions of the association.
    • Assist in the implementation of the stated priority goals/issues and business plans of the client.
    • Conduct site inspections as needed.
    • Attending Board of Directors meetings may be required.
    • Any and all other assignments as deemed necessary by the Board of Directors or management.
    • Conduct and/or participate in committee and owner orientations.
    • Utilizes technology as applicable to perform job functions and publish communications to themembership.
    • Meet with homeowners as required to support the event and facility functions.
    • Respond to homeowner complaints and concerns regarding community matters.
    • Greet homeowners, residents and visitors in the Resort.
    • Respond to Resident Inquiries and answer questions about the HOA, events or other Associationrelated items.
    • Assist homeowners with the Amazon Go store in the Resort. Associate will need to obtainRBS/TIPS certification in order to assist homeowners with the purchase of alcoholic beverages. Acertification course will be assigned to the Associate during the first 30 days of hire.
    • Assist community members with using the community's Alosant app, including but not limitedto checking the calendar, reserving items and locating Association information.
    • Attend all company mandatory functions.
    • Comply with company policies and procedures.

    Supervisory Responsibility


    Limited to the coordination of volunteers for events planning and execution. No direct reports at thistime, but opportunities may arise in the future and will be communicated.


    Education & Experience


    Must possess a high school diploma. College degree is preferable.

    • Knowledge of Canva, Publisher and InDesign or ability to learn to use these programs to createfliers, announcements and videos for the Association.
    • Must be comfortable with using and updating information on Websites and Mobile Applications.Training will be provided.
    • Must have reliable transportation; possess current California driver's license and the currentstate mandated vehicle insurance.
    • Must have the ability to effectively communicate with the Board, vendors and clients, verballyand through written correspondence.
    • Must be detail oriented.
