The Specialty Services Department provides project services for large scale interior and exterior maintenance and repairs and replacements for FirstService Residential client associations; as well as remodeling and large construction and specialty services projects for individual homeowners who live in these communities. The Supervisor of Specialty Services is responsible for the management and oversight of construction and specialty services projects. Responsibilities include but are not limited to, corporate office, community/HOA, and residential services, project management, and supervisory responsibilities.

Essential Duties & Responsibilities

- Ensure all specialty services are geared toward achieving sustained service excellence.
- Evaluation and respond to NPS results on specialty services projects.
- Develop client experience goals and implement client experience initiatives.
- Oversee a communications culture and practice that is responsive to internal and external
- clients in a timely and effective manner.
- Provide support to Property Managers and clients on specialty services related matters.
- Assign responsibility and manage work flow for all projects within the specialty services team.
- Oversee inventory of tools and equipment owned by the Specialty Services Division.
- Oversee the generation of contracts and the accountability structure for contract fulfillment
- for all Specialty Services Division projects.
- Oversee the proper execution of contracts, indemnification and insurance for all subcontractor contracts executed by the Specialty Services Division.
- Properly manage the input of information into the field services system for all project work and project expense and revenue management so that invoices are received and generated timely and work is accurately and easily reconciled in the monthly report.
- Property manage the input for all bids and estimates in the required system.
- Maintain all required licenses for the Specialty Services Division and partner with Human
- Resources on safety training and regulatory compliance for performance of specialty services project work.
- Overseeing adherence to company policies by all Specialty Services Division employees.
- Support the Director of Property Services with measuring and reporting the number of sales proposals generated, the value of each proposal and our success rate in closing deals.
- Support the Director of Property Services with completing all budgets for the Specialty Services Division on an annual basis and update the annual budget with quarterly forecasts.
- Being accountable for top line revenue and bottom-line EBITDA results generated by the
- Specialty Services Division, including assessment of profitability by project managers and project types.
- Approve all Specialty Services Division operating expenses.

- Perform or assist with any operations as required to maintain workflow and to meet schedules. Notify supervisor of unusual equipment or operating problems and the need for additional material and supplies.
- May participate in any variety of meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems and maintain specified level of knowledge pertaining to new developments, requirements, policies, and regulatory guidelines.
- Ensure all safety precautions are followed while performing the work.
- Follow all policies and Standard Operating Procedures as instructed by Management.
- Perform any range of special projects, tasks and other related duties as assigned.
- Perform in a full-time position assigned to the Corporate Office.
Supervisory Responsibility
- Supervise and manage Specialty Services Division positions/teams.
- Assign, monitor, and manage tasks and responsibilities.
- Organize workflow and ensure that employees understand their duties or delegated tasks.
- Set goals for performance and deadlines in ways that comply with company's plans and vision.
- Evaluate performance on a regular basis.
- Provide coaching and disciplinary actions, as necessary.
- Prepare and submit performance appraisals.
- Decide on reward and promotion based on performance.
- Receive complaints and resolve problems.
- Maintain timekeeping and personnel records.
- Pass on information from upper management to employees and vice versa.
- Recruit, hire, and train members of the team.
- Ensure adherence to legal and company policies and procedures and undertake disciplinary actions if the need arises.
Education, Experience & Requirements
- Office management experience required
- Five years of supervisory experience required
- High school diploma or GED required
- Associate's or bachelor's degree in business field, construction/maintenance field or property management and/or at least 4 years of transferrable work experience preferred
- Proficiency in construction/maintenance supervisor role and FieldService CRM or similar system, strongly preferred
- Basic proficiency in Outlook, MS Excel, PowerPoint, Word and Office365 strongly preferred
- Proficiency in Apple iPhone systems preferred

Salary
Travel in the Kansas City metropolitan area required – 50%
