Job Responsibilities
This position supervises and is responsible for the loading dock associates, Shipping and receiving of packages, Scheduling move-ins/outs, Traffic Control on loading dock, Vendors/ Contractor check-in/outs, and freight elevator protection management; maintaining loading dock Safety, Organization and Cleanliness. Waste Management pick up scheduling and all recycling efforts. Enforcement of all rules and regulations of the Association and FirstService Residential.

Essential Duties & Responsibilities

- Supervising the Loading dock area.
- Maintains a safe work area.
- Creates and supervises Loading Dock associates' schedules, performance, training and timecards.
- Cover schedule's call offs and emergencies from the department's associates.
- Review, request adjustments, approve and keep track of Certificates of Insurance (COI) prior to any vendors or contractors access the property.
- Scheduling of resident Move in and Move out process and Package delivery.
- Schedules and protects freight elevator for residents moving of material for movers and deliverers while adhering to Association Policy.
- Scheduling Resident package deliveries to unit.
- Schedules inspections of elevators and buildings prior to move and deliveries and provide written reports of damages to Chief Engineer.
- Investigates alongside the Resident Relationship Department packages issues and misplacements.
- Registers and processes all deliver and packages (i.e. Fed Ex, UPS, DHL, registered mail).
- Reports all problems to the General Manager, including problems outside of scope of responsibility.
- Registers/logs and distributes ID passes to all contractors and vendors
- Create an agenda for HOA Management meetings with GM and Chief Engineer giving reports of department.
- Ordering all supplies for Loading Dock as needed.
- Supervises and organizes loading dock trash, recycling, compost, donation and bulky item removal from property
- Other duties and tasks as required by the General Manager or Chief Engineer.
Additional Duties & Responsibilities
- Practice and adhere to FirstService Residential Global Service Standards.
- Conduct business at all times with the highest standards of personal, professional and ethical conduct.
- Perform or assist with any operations as required to maintain workflow and to meet schedules. Notify supervision of unusual equipment or operating problems and the need for additional material and supplies.
- May participate in any variety of meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems and maintain specified level of knowledge pertaining to new developments, requirements, policies, and regulatory guidelines.
- Ensure all safety precautions are followed while performing the work.
- Follow all policies and Standard Operating Procedures as instructed by Management.
- Perform any range of special projects, tasks and other related duties as assigned.
Supervisory Responsibility
This position will supervise all Loading Dock Associates
- Education & Experience
- High school diploma or equivalent.
- 1-2 years of experience in receiving or warehouse environment.
- 2-3 years of customer service experience at a luxury operation.
- 2-3 years of managing one or more employees.
- Proficient with Excel, Outlook, Microsoft Word, Microsoft Office
Knowledge, Skills & Proficiencies

- Proficient in English; additional languages are a plus.

- Knowledge of working methods, safety practices and procedures, common terminology, safety precautions and practices necessary for working with hand tools and heavy equipment; and the principals and practices of employee supervision, training and evaluation
- Excellent general math skills.
- Experience working with inside and outside environmental elements (noise, weather, etc.).
- Demonstrated organizational and time management skills with the ability to multi-task, implement, and monitor progress for successful completion.
- Ability to work well under pressure in a fast-paced environment meeting deadlines.
- Demonstrates attention to detail.
- Demonstrates excellent organizational and time management skills.
- Excellent attendance and punctuality.
- Working knowledge of Microsoft Office applications; including MS Word, Excel, PowerPoint, Outlook, Publisher.
Tools & Equipment Used
- Must have a valid California driver's license
- Must have own reliable transportation
- Must have State mandated vehicle insurance
- Office equipment; computers, printers, fax machine, etc…
- Walkie-Talkie
- Knowledge and experience with the various tools, material and equipment required for this maintenance and engineering discipline.

- Ability to lift, push and move equipment and furniture.

- Must be able to communicate both on the phone and in person in order to resolve issues related to the business.
- Must have finger dexterity for typing/using a keyboard.
- Must be mobile enough to move around the office and during outside events; including walking on uneven surfaces and standing for long periods of time.
- Ability to work with inside and outside environmental elements (noise, weather, etc.).
- Must be able to bend, climb, stoop, crawl, twist, walk and use their extremities including wrists and fingers.
