POSITION DESCRIPTION DETAILS
The Administrative Coordinator is a combination of receptionist duties and financial support in a fast-paced growing insurance agency. We are seeking a detail-oriented and organized individual to join our team as an Administrative and Financial Support Specialist. This role involves performing a combination administrative and variety of financial tasks to ensure the smooth operation of daily activities within the organization. The Administrative Coordinator is often the first person that clients, carriers, and potential recruits meet, when they visit Haughn and Associates, which requires that they are courteous and attentive. They must have impeccable attention to detail and a willingness to proactively take on administrative duties ranging from taking calls, distributing mail, scheduling appointments, maintaining office equipment, coordinating repairs, helping with financial support and keeping common areas organized and clean.
RESPONSIBILITIES INCLUDE
- Greet and direct all agency visitors.
- Answer and direct agency phone calls.
- Able to prepare and maintain cash reports.
- Process and manage direct bill commission statements.
- Maintain and update the check log daily.
- Handle a variety of insurance related tasks, such as preparing insurance certificates and driving records.
- Ensure common areas are organized and stocked with food and coffee.
- Handle all outgoing agency mail including addressing, postage, etc.
- Assist senior team members in document preparation for clients and prospects.
- Update client records and documents within the agency management system.
- Assist in organizing and setting up internal agency meetings, including lunch and breakfast meetings.
- Sort and process all incoming mail according to agency processes.
- Review and reconcile agency accounting and financial transactions.
- Act as an executive assistant to senior leadership. Schedules meetings and appointments, maintains calendars, and makes travel arrangements for assigned executive staff.
- Performs various secretarial, clerical, and administrative duties, but with specialized attention to the fact that the information, decisions, and communication involved may be sensitive or confidential.
- Assist with special projects as needed.
QUALIFICATIONS INCLUDE
- High school diploma or equivalent required.
- At least 2 years of related experience required.
- Proficient with Microsoft Office Suite
- Ability to maintain confidential and sensitive information.
- Attention to detail and accurate record keeping.
- Excellent communication skills, both verbal and written.
- Previous experience in administrative or financial support roles is preferred.
- Experience with Applied Epic Preferred.

SALARY RANGE
$35,000-$45,000 / year
