The Olympic Regional Development Authority is seeking a talented and organized professional to serve as the Payroll Coordinator for Belleayre Mountain. The Payroll Coordinator is responsible for overseeing the hiring and payroll processes for hourly staff at Belleayre. The Payroll Coordinator reports directly to Belleayre Mountain General Manager and works closely with various supervisors to ensure proper and timely completion of the payroll and hiring processes. This position is located in Highmount, New York.
Belleayre Mountain, located in the heart of the Catskills, is home to New York State’s first chair lift, and employs approximately 40 full-time, year-round hourly staff along with an additional 330 seasonal and part-time staff. Skiers and riders from the New York and Tri-State areas have access to 1,404 feet of vertical drop where they can enjoy 63 alpine trails and 9.2 kilometers of cross-country ski trails. Recent improvements include a gondola, a quad chairlift with conveyor, along with significant lodge expansion and snowmaking upgrades.
Work is performed primarily on site and little, if any, travel will be required. Daily activities required to complete regular job assignments include standing or being seated for extended periods. Weekend work as well as work outside the normal workday may be required as is necessary to fulfill job responsibilities and/or meet critical deadlines.
Essential Duties (this list is not exhaustive):
· Payroll
o Ensure timely and accurate processing of payroll updates including new hires, terminations, and changes of status;
o Assist new hires in understanding and applying for hourly employee benefits available pursuant to the terms of the effective collective bargaining agreement, and submit complete and accurate paperwork to the Olympic Authority’s Benefits Administrator in a timely manner to ensure that new employees receive benefit entitlements;
o Accurately track employee longevity eligibility and submit to central payroll for processing on a timely basis;
o Accurately complete daily tracking of all employee timecards using the software system implemented for this purpose, and become fully familiar with all aspects of utilizing that system;
o Regularly monitor the use of employees’ leave time to assure proper use in accordance with the Olympic Authority’s time and attendance policies, and work cooperatively with the appropriate Human Resources and/or venue management staff to report potential abuses in a timely manner;
o Upload all NYS retirement enrollments for Belleayre staff to the Olympic Authority’s Benefits Administrator in a timely basis;
o Process and submit workers compensation claims and all related paperwork to the Olympic Authority’s workers compensation carrier within the allotted timeframe and track all follow-up as necessary to ensure the submission of timely and complete information;
o Prepare and process accurate approval forms for Changes of Status submissions by venue management to the Human Resources Department in a timely manner.
o Submit written notifications to the Olympic Authority’s Payroll Manager and Benefits Administrator of staff who have been terminated from payroll in a timely basis.
· Effectively manage onboarding of new hires and seasonal staff:
o Initiate onboarding paperwork for new hourly hires via the Olympic Authority’s electronic onboarding platform;
o Prepare and submit complete and accurate approval sheets to appropriate venue and Human Resources personnel for new hires and re-hires;
o Ensure that Belleayre staff have completed all onboarding paperwork, review for accuracy, and follow up as necessary;
o Create employee ID Badges required for new hourly hires to clock in and perform biometric scans of employee fingers for use during the clock-in process;
o Submit requests for necessary background checks as required by the Olympic Authority’s Background Check Policy and work with Human Resources staff to effectively follow up on the progress to assure a timely onboarding process for new hires.
o Instruct newly hired staff about internal processes and time and attendance policies to assure the proper and timely completion and submission of timecards.
· Manage the scheduling and tracking of employee training:
o Work with trainers to schedule required training;
o Track staff attendance, maintain all records of training, and notify appropriate personnel of any venue staff who need to complete required training;
o Collect any training certificates issued to document completion of training and work with the Human Resources Department staff to ensure filing and documentation is in personnel records.
· Actively participate in the recruitment process Belleayre’s hiring needs:
o Work cooperatively with venue management to help identify venue hiring needs;
o Support the Human Resources Department by ensuring the timely and accurate posting of job vacancies;
o Review applications and resumés for the purpose of distributing to appropriate personnel for consideration;
o Schedule and effectively track the progress of interviews and hiring for venue management and the Human Resources Department;
o Assist with open houses and attend/support job fairs for the purpose of recruiting staff for MVH and the OJC.
Minimum Qualifications:
Demonstrated knowledge of basic business payroll and record-keeping practices with a minimum of one (1) year experience in business procedures. Candidates must be computer literate and knowledgeable in Microsoft Office applications, demonstrate a professional appearance and manner, and be willing to work cooperatively and collegially with other staff members to accomplish the needs of the hiring and onboarding processes and to assist staff with any and all aspects of that process as necessary.
Other Considerations:
Prior experience with payroll functions preferred. Excellent verbal and written communication skills are a must. The successful candidate will be expected to demonstrate an understanding of the need for maintaining the confidentiality of all personnel records associated with the hiring and onboarding processes.
Compensation and Benefits:
The targeted hiring rate for this position is between $47,747 and $52,747. The Payroll Coordinator is classified as a Department Coordinator on the Olympic Authority’s Management Confidential Salary Schedule, which carries an entry rate of $47,747 and maximum rate of $76,396. Final offer will be dependent on qualifications, demonstrated skills, and experience.
