JOB DESCRIPTION

JOB TITLE:                           Orthopedic & Physical Therapy Office Supervisor

DEPARTMENT:                  Caldwell Medical Associates

REPORTS TO:                     Specialty Clinic Manager

SUPERVISES:                      Non-Clinical staff

POSITION SUMMARY:

Supervises non-clinical staff by assigning daily work, scheduling staff, and serving as liaison between Physical Therapy Director & Ortho Clinic Manager, Providers, and staff.    

                                                                         POSITION RESPONSIBILITIES

ESSENTIAL FUNCTIONS:

1. Plans, coordinates and supervises the delivery of clinic office services.
2. Ensures compliance with government regulations.
3. Trains new staff.
4. Represents clinic in training and meetings as requested by management.
5. Works closely with providers and staff to deliver the best health care available.
6. Assigns work duties to non-clinical staff.
7. Creates staff and provider schedules.
8. Monitors staff time and attendance and minimizes overtime.
9. Monitors appointment schedules for maximum use of providers time and ease of scheduling patient appointments.
10. Observes staff for productivity and efficiency.
11. Looks for and implements improvements in workflow processes.
12. Monitors supplies on hand and keeps minimum stock on hand.
13. Assist providers as necessary to make sure charge tickets are completed by the end of each business day.
14. Interacts with customers to look for new business opportunities and maximize services offered.
15. Resolves complex customer inquiries and staff complaints.
16. Sets the example everyday of going above and beyond what is required.
17. Office coach and cheerleader for excellent customer service.
18. Performs other duties as assigned.

1. Demonstrates understanding of the Revenue Management Cycle.
2. Demonstrates advanced computer knowledge of systems and applications related to specific duties of job title.
3. Demonstrates basic computer knowledge of systems and applications as related to all other staff.
4. Demonstrates effective communication skills, both written and verbal.
5. Successfully completes all required training and continuing education.
6. Demonstrates excellent Guest Service skills.
7. Clerical and analytical ability to be self sufficient in performing assigned duties and maintaining confidential information.

Qualifications

POSITION QUALIFICATIONS

MINIMUM EDUCATION

High School diploma or GED.

MINIMUM EXPERIENCE

Prior experience preferred.

PREFERRED EDUCATION

Bachelor’s degree

PREFERED EXPERIENCE

One or more years of related work experience required.     Excellent guest service, communication, and multi-tasking skills required.
