Fleet Management Coordinator

  • Warren Wilson College welcomes applications for the Fleet Management Coordinator position. The Fleet Management Coordinator will be responsible for managing reservations, scheduling, and inspection of the campus fleet vehicles, as well as oversight of campus licensing for staff, students and faculty. In addition to the fleet operations, the Coordinator will train and work with a student crew to assist with the daily tasks of the facilities department and college vehicle customer service for the campus. The individual in this role will be expected to take a leadership role in the absence of other facilities supervisors. Some weekend and evening hours may be required.

    Minimum Qualifications

    • One year of professional experience in Fleet Management.
    • One year of supervisory experience.
    • Computer proficiency in Microsoft Word, Excel, Google Suite and general database management.
    • A valid North Carolina Driver’s License with no restrictions.
    • Demonstrated ability to organize and coordinate multiple tasks and projects, and maintain accurate and detailed records.
    • Demonstrated customer service skills including strong verbal and written communication abilities.
    • High school diploma.
    • Demonstrated ability to work with a wide range of constituents from various backgrounds and identities.

    Preferred Qualifications

    • Two to four years of professional experience in Fleet Management.
    • An Associates degree or certification in construction, maintenance, or other related field.
    • Two to four years of supervisory experience working with and/or teaching traditional college aged persons.
    • Previous general maintenance experience.

    Key Responsibilities

    • Provides access to online driver’s training and vehicle familiarization to faculty, staff and students.
    • Handles all campus licensing procedures for cars and trucks, golf carts, and large passenger vehicles.
    • Provides large passenger van road safety training and facilitates the large passenger van road tests for faculty, staff and students.
    • Maintains UST compliance paperwork.
    • Maintains fleet functions, including managing reservations, scheduling, and inspection of the campus fleet vehicles.
    • Schedules repairs for campus vehicles with third party vehicle repair companies.
    • Keeps track of all keys and vehicle locations.
    • Ensures that vehicle mileage per trip is recorded and maintained, in order for vehicle users to be charged appropriately for their usage.
    • Develops and disseminates campus vehicle and fleet policies and procedures.
    • Ability to deal calmly and professionally with accidents, emergency and/or intense situations involving fleet usage and handle complaints respectfully.
    • Trains, works with, and evaluates a student crew in fleet management and facilities customer service work activities.
    • Works in conjunction with the WPO for student work crew satisfaction.
    • Under the guidance from the Facilities Director, maintains and works within a realistic budget, processes expenditures for payment following college procedures.
    • Identifies equipment needs and maintains inventory for department needs.
    • Acts as a backup for other members of the Facilities department in their absence.
    • Other duties as assigned.
