Position Summary:
The Operations Administrator's responsibilities may include answering the phone, keeping track of inventory, maintaining financial and client records, handling maintenance issues and providing administrative support as needed. This position is directly responsible for daily operations, inventory, overseeing IT and managed care initiatives. Works closely with Coordinators/Managers on issues related to financial and operational performance.
Essential Duties and Responsibilities
· Maintain accurate records of lease agreements, vendors, service providers, including documentation, contracts, and correspondence.
· Develop and implement asset management strategies, including asset tracking, fleet management, maintenance, and disposal procedures.
· Maintain accurate records of all organizational assets, including PPE, fleet, hardware, software, furniture, tools, and other equipment.
o Assume responsibility for all company equipment, assets, PPE, and tools.
· Coordinate regular audits to verify the accuracy and condition of assets and resolve discrepancies as necessary.
· Collaborate with IT to oversee the setup, maintenance, and troubleshooting of hardware, software, and network infrastructure.
· Coordinate equipment/assets repairs and maintenance, ensuring minimal downtime.
· Monitor software licenses and renewals, ensuring compliance with licensing agreements.
· Organizing events, scheduling meetings, planning/coordination travel arrangements with all departments and other activities.
· Maintain all vehicles monthly, update list with any changes. This includes ensuring registration sticker is up to date and vehicles are insured.
· Inspect all vehicles on a weekly basis; coordinate with each driver on getting a completed inspection list.
· Maintain IT room (organization/Cleanliness)
· Maintain Storage units – keys and cleanliness/organization.
· Gas Card issues, replacement/cancellation, tracking cards along with receipts, issuing cards and having employees sign contracts.
· Assist with the onboarding process for new employees, ensuring they have the proper equipment/set up, PPE, tools, and resources they need.
· Maintain safe and clean office workspace.
· POC for maintenance, mailing, shipping, supplies, equipment, bills, and errands.
· Perform other duties as assigned.
