    Description

    BASIC FUNCTIONS:

    • The primary function of the Base Supervisor is to ensure smooth, efficient operation of the satellite base by enforcing company policies related to the day-to-day operation of the fleet and personnel assigned to them.
    • Acts as the front line for the company by ensuring that the standard of service to the patient, levels of performance, operating procedures, and company image are being met on a consistent basis; maintaining the goals of our mission statement at all times.
    • Coordinates the maintenance needs of the vehicles assigned to their base with the Fleet Supervisor.

    RESPONSIBILITIES

    • The Base Supervisor is directly responsible and accountable to the C.O.O.
    • The primary functional responsibilities include:
      • The smooth and efficient operation of their base and to provide effective leadership to all company personnel at that base.
      • Ensure and enforce company policies pertaining to building, vehicle and equipment security.
      • Observe and report on the physical condition of the base and equipment.
      • Perform quarterly inspections in accordance with the company’s Internal Operational Inspection System.
      • Monitor the supply needs of the base. Interact with the Inventory Control Supervisor to fulfill those needs. Maintains accurate records to ensure proper tracking and follow up.
      • Responsible for the scheduling of all personnel at their base. "Interact" with the Master Scheduler on a regular basis.
      • Responsible for gathering (in a timely fashion) any information pertaining to vehicle deficiencies as reported or observed. Maintains accurate records to ensure proper tracking and follow up. "Interact" with the Fleet Supervisor within specified parameters.
      • Responsible for monitoring the effectiveness of systems set forth by the C.O.O. and Office Manager for the timeliness and accuracy of the submission of all run sheets.
      • Serve as a conduit to present to management the problems, concerns, and suggestions of the employees.
      • Discipline all personnel working in this functional area within specified parameters.
      • Make public relations an integral part of how their department deals with clients.
      • Maintain interaction with the Human Resource Department - continually providing feedback to the training division for programs to improve employee performance (i.e., training and retraining).

    SPECIFIC DUTIES:

    • The duties of the Base Supervisor include by are not necessarily limited to the following:
      • Establish and maintain close communications and coordination with all operational personnel assigned to them to assure attainment of operational goals and objectives and quality service to our patients.
      • Supervises, motivates, and evaluates personnel assigned to this functional department.
      • Maintain working and safety rules set forth by Safety Committee and President. Report any significant safety issues to the President for immediate resolution. Make recommendations as needed.
      • Assist the President and VP of Corporate Development in establishing good customer/patient relations and ensure all other department personnel adhere.
      • Account for and review daily checklists; note and forward any deficiencies in accordance with the current tracking system. Have crew further document mechanical or body deficiencies utilizing the deficiency form.
      • Perform quarterly inspections in accordance with the company’s Internal Operational Inspection System.
      • Provide feedback to crew(s) regarding corrective course of action being taken.
      • Monitor and access overall appearance of vehicles; this is to include interior and exterior damage, wear and tear, and cleanliness. Record and forward significant findings for resolution.
      • Monitor and log mileage of vehicles as requested by the Fleet Supervisor.
      • Inform Fleet Supervisor of repair needs of the vehicles assigned him/her and coordinate efforts for resolution.
      • Ensure that all company personnel follow safe and lawful driving practices and do not abuse company owned or leased vehicles or equipment.
      • Monitor building supply needs including cleaning supplies, paper goods and office supplies.
      • Monitor oxygen supply of spare tanks for vehicles as well as the base cascade system and forward needs to Inventory Control Supervisor.
      • Monitor medical supply of the vehicles and base stock and place orders as needed.
      • Maintain effective and proper housekeeping practices of the facilities within their assigned region. A predetermined housekeeping schedule will facilitate this function.
      • Monitor building energy usage. Provide feedback or recommended action for more efficient use of energy.
      • Compute weekly payroll and forward to Human Resource Department in appropriate

    time frame.

      • Maintain a petty cash account for the bases within their region and maintain token supply/account for vehicles stationed within the region. Utilize standardized system.
      • Schedule all personnel for their region. Submit a completed schedule (for the upcoming month) to the Human Resource Department by the fifteenth. This submission is to include all documented requests for time off and New Employee request forms. Post the completed schedule five days prior to the start of the month.
      • Work in conjunction with the Human Resource Department to maintain an updated schedule that reflects vacation, swaps and other coverage.
      • Monitor appearance of employees and compliance with company uniform policy. Take necessary corrective measures and refer uniform requests.
      • Direct employees with benefit related questions to the Human Resource Department.
      • Maintain a high level of morale among EMT's by developing a team spirit, setting goals and measuring results and personally taking an interest in the development of each employee as a productive and motivated employee of the department's operations.
      • Constantly exhibits a positive attitude, both mental and physical, towards the company, its services, and all employees. This is necessary because others will take any negative attitude expressed by him / her as a reflection of management's attitude.
      • Serve as a member of the "Management Team" and as such adopt a "whatever it takes to get the job done" attitude.
      • Ensure the organizational chain of command is adhered to at all times.
      • Ensure proper paper flow between base and home office. Ensure that policies set forth for tracking of such are carried out. To include vehicle checklists, deficiency forms, run sheets and vehicle logs. As well as any requests made by the employees for vacation, swaps, etc.
      • The Base Supervisor must be aware of outstanding paperwork and request the crews to complete or correct, as necessary.
      • Maintain a base bulletin board at each location within the region. Update accordingly as information on policy changes, continuing education and other information as it is provided.
      • Attend regular meetings as set by the C.O.O.
      • Identify problems, systemic or otherwise, and recommend solutions.
      • Document any infractions of company policies by personnel as well as any incident of complaint against the company or any of its personnel. Forward to the appropriate department head for resolution.
      • Ensure that supply inadequacies reported by the crews are corrected immediately, provided the necessary stock is available.
      • Provide the C.O.O. and Director of Human Resource with information regarding the availability of personnel, equipment, and vehicles for long term planning.
      • Act as the C.O.O. designee upon request or as scheduled.
      • Perform all other tasks assigned by the Director of Human Resources or C.O.O.
