Administrative Assistant/Project Coordinator for a Specialty Contractor

Diamond Glass & Metals LLC is a local commercial glazing contractor seeking an individual to assist our Project Manager, Estimator, Superintendent (management team) in the office on a Full -Time basis. We are located in the Halawa Business Park in Aiea.

Job Description:

Individual with basic construction/accounting knowledge will be working with the Project Manager, Estimator, Superintendent assisting with daily administrative duties supporting both our construction and accounting departments.

Responsibilities:

Perform general office duties e.g. answering phone calls, managing correspondence providing follow-up.

Monitor and process prospective jobs to bid via online software

Set up Awarded Jobs

Assist with Contract Document processing, tracking, submittals from award to closeout

Posting of data into Project Management Software

Organize and maintain project files

Updating job reports

Assist in sourcing of materials, distributing links to full plans and specifications to suppliers

Monitor/follow-through with material suppliers, on quotes/orders, delivery schedules etc. Update respective PM’s Superintendents on material logistics for the respective jobs

Work and interface with the accounting department respective to project requirements

General office duties

Qualifications:

Strong organizational skills, and able to multitask work in a small office setting

Understanding of Construction Documents/Construction terminology

Willingness to learn and able to work independently and as a member of our team

Detail oriented with accuracy and timeliness in data entry and record keeping

Proficient in Microsoft Word, Excel, Outlook

Ability to work alone with minimum supervision in a small office setting
