Holiday Inn has an opening for Sales Coordinator to provide organization and support to our valued Sales & Catering team, tasks range from contract preparation to serving as a first point-of-contact for new/existing clients.  The Sales Coordinator provides all operation areas with up-to-date information about promotions, meetings, groups, and specific accounts.

DUTIES & RESPONSIBILITIES

•     Politely and professionally answer the telephone and greet clients who are on-site for appointments.
•     Maintain a professional office environment.
•     Coordinate all in-house meeting functions.
•     Maintain an accurate, updated, and organized sales filing system – store documents for future reference.
•     Create and distribute reports for the department as-necessary.
•     Establish proficiency in Opera sales software.
•     Send client thank-you’s and surveys in a timely manner.
•     Prepare sales gifts as-necessary
•     Maintain a file of competitor’s activities, prices, brochures, and sales kits.  A current value assessment of competitors must be available at all times.
•     Utilize the “Inquiry Sheet” when handling inbound calls for function and guest-room space.  Determine, based on current booking guidelines, which Sales Manager to whom information should be relayed.
•     Demonstrate a sound knowledge of the product and services offered by the property.
•     Follow booking guidelines to negotiate Wedding Guest-room Block contracts.  Set appropriate traces to follow up on signed agreements, cutoff dates, etc.  Updates Opera booking with Activity Notes.
•     Prepare a weekly, written sales report on all SAC booked business for Wedding Guest-room Blocks for the hotel.  This report will include all prospect, tentative, definite, and cancelled business.
•     Assist DOS/DOC with planning events
•     Assist DOS with preparation of Sales meetings.
•     Assist in maintaining website information, HCM, and social media sites. 
•     Coordinate with DOS/DOC on hotel marketing prices.
•     Maintain schedule of events in Lobby Media Center.
•     Assist with trade-out and marketing projects as-needed by DOS & GM.
•     Demonstrate ability to interact and cooperate with all company employees – build strong internal relationships to facilitate excellent guest service
•     Deliver exceptional customer service to guests at all times
•     Keep senior leadership informed of issues as they arise
•     Adhere to all company policies, procedures, business ethics codes, and applicable laws
•     Perform all duties in accordance with IHG brand expectations
•     Other duties as-assigned.
  
  
  EXPERIENCE & QUALIFICATIONS
      Previous administrative experience is ideal.  However, thorough training may be provided for otherwise qualified candidates who lack formal experience.
