GENERAL STATEMENT OF JOB:
The customer service representative is responsible for providing services and support to customers, by providing information on products, orders in process and other information, and assisting in resolving customer service problems. Provides support to customers on orders from initial contact to ensuring that all servicing needs of the customer are met. This includes but is not limited to processing orders, providing price quotes, assisting with returns.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
*Process & confirm orders received by phone, fax, email and EDI, within 24 hours from receiving order
*Provide information on products such as:
-Notify customers of changes, discrepancies and delays with the orders
-Status of orders, tracking information and proof of deliveries
-Pricing, cross-references and quotes
*Provide return authorization to customers, as needed
*Receives and documents customer complaints and assist in resolving customer order problems
*Review reports to verify on time shipments and to verify accuracy
*Submit credit requests, as needed
*Conducts follow up processes to respond to customer needs
*Make credit adjustments to customer accounts and provide research to document adjustments
*Submit new customer account forms after verifying membership status
*Submit item load change form after verifying pricing, description, and UOM
*Notify supervisor of all incomplete tasks that requires support or assistance
*Maintains files for all sales orders
*Adheres to all company policies and procedures in addition to Kerma South specific guidelines
*Maintain effective communication skills between co-workers and management
*Performs other duties (special projects) assigned by manager, as needed
*Must have a “can-do” attitude
MININUM QUALIFICATIONS:
Education and Experience:
*High School graduate (Associates degree preferred) with at least one year of education above high school level and a minimum of three years of related experience, or a combination of education and experience.
Knowledge/ Skills/Abilities:
Must be able to analyze processes and perform tasks that will result in completing work orders correctly
Proficient in computer and software skills with ease in comprehending new software as needed
Proficient in Microsoft Excel, Word and Outlook
Exceptional attention to details
Excellent communication skills at all levels internally (co-workers and mgt.) and externally (customers)
Solid understanding of customer services processes
Possess exceptional phone etiquette
Must be proactive in completing tasks correctly
Proficient with 10 key calculator
Works well in a team environment and fast pace

Physical Requirements:
