The Accounts Receivable Coordinator plays a vital role in ensuring the financial health of the company by managing all aspects of accounts receivable. This includes invoicing, collections, resolving discrepancies, and maintaining accurate records. The ideal candidate will be detail-oriented, organized, and possess strong communication skills.
RESPONSIBILITIES:
· Cash Receipts Posting and Payment Application: Process incoming payments from customers, apply them accurately to the appropriate accounts, and update the accounting system with the transaction details.
· Identify and Resolve Unallocated Cash Balances: Investigate and reconcile any discrepancies or unidentified cash balances to ensure all payments are properly allocated and accounted for.
· Account Collections and Inquiries: Contact customers to follow up on overdue payments and respond to customer inquiries related to billing and payments.
· Deduction Research and Resolution: Investigate and resolve any deductions or discrepancies in customer payments, working with internal departments or customers directly to clarify and resolve issues.
· Generating Invoices and Account Statements: Prepare and send out invoices to customers based on agreed-upon terms and generate regular account statements to keep customers informed of their outstanding balances.
· Account Reconciliation: Regularly reconcile accounts receivable balances with general ledger accounts to ensure accuracy and completeness of financial records.
· Monitor Customer Details for Non-Payments: Keep track of customer payment patterns and monitor accounts for any signs of non-payment, delayed payments, or other irregularities, taking appropriate actions as needed.
QUALIFICATIONS:
· Years of Experience: minimum of 3-5 years of accounts receivable experience
· Industry Knowledge: Experience in apparel or similar industry with chargebacks a plus
· Technical Skills: Look for candidates proficient in Excel, Outlook, integrated accounting software
· Communication Skills: Strong communication skills are essential for interacting with customers, internal teams, and management regarding billing inquiries, payment updates, and issue resolution.
· Attention to Detail: Emphasize the importance of accuracy and attention to detail in managing cash receipts, reconciling accounts, and processing invoices.
· Problem-Solving Abilities: Seek candidates who can independently investigate and resolve issues related to unallocated cash, deductions, and irregular payments.
