Description
GENERAL STATEMENT OF DUTIES:
We are looking for a full-time, self-motivated and organized individual to join our dedicated team of healthcare professionals where patient care comes first.
Monday-Friday 8am-5pm

RESPONSIBILITIES / WORK REQUIREMENTS:
Represents physicians by:
- Ensuring an excellent patient experience from entry to departure
- Properly greeting each patient with a professional and pleasant attitude, check them in and out, and escort them to the exam room, if needed
- Effectively communicating with patients when they make inquiries, by phone or at the office
- Screening and referring incoming phone calls and visitors to ensure accurate, timely, and positive communication, facilitation
- Demonstrating regard for the dignity and respect of all patients, family members, staff, and visitors
- Maintaining proper attendance and punctuality to ensure the office is operated in an efficient and cost-effective manner
- Respecting and understanding the patient's right to treatment and right to involvement in treatment decisions
- Understanding and adhering to all HIPAA regulations regarding patient confidentiality and recordkeeping (written acknowledgement required)
Ensures physician productivity by:
- Managing and maintaining physician calendars as directed
- Schedule patient appointments and physician consultations, professional meetings, conferences, teleconferences, etc
- Call patients to confirm appointments, special tests, etc
- Recording and transmitting phone messages in a timely manner
- Regularly check voice mail and respond before the close of business day unless it requires immediate attention
- Scheduling, receiving, and announcing scheduled patients and visitors
- Screening unscheduled patients and visitors
- Arranging referrals to other health care providers; scheduling appointments for consultations, x-rays, lab tests, physical therapy, MRI's, CT scans, etc.
- Route all patient calls to call center to ensure all patient information is updated
- Ensuring all insurance precertification and benefits verification is collected in advance of appointment to reduce patient wait time
- Accurately entering all patient demographic information and other data
- Collecting required insurance co-payments, patient balances, and properly document if Registration staff unavailable
- Routing charts and records to appropriate areas in a timely and accurate manner
- Ensure that all patient paperwork is scanned into SRS in a timely and accurate manner
All of the above applies when covering for another physician in the absence of dedicated Physician Secretary.
Surgical Scheduling responsibilities:
- Schedules, re-schedules and cancels surgical patient appointments according to protocol and physician availability
- Returns all routine patient calls within 24 to 48 hours of initial call
- Returns all urgent calls the same day
- Verifies patient demographics, insurance information, and pertinent medical history during the scheduling process.
- Provides basic pre-operative information/instructions to surgical patients appropriate to the type of surgery that is scheduled
- Understands pre-certification requirements for Medicare, commercial and workers compensation insurers and explains and assists patients in meeting those requirements
- Responsible for contacting insurance carriers to obtain surgical pre-certification
- Responsible for all record keeping and paperwork associated with the patients surgery
- Updates and maintains the physician daily schedule on the practice intranet
- Receive and process all changes to the schedule and notify the surgical scheduling department of any changes
- Other duties that may be inclusive, but not listed in the job description
Qualifications
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:
- Minimum of 2 years experience supporting a physicians practice required (3 years highly desirable)
- Minimum of 1 year of Surgical schedule experience
- At least 2 years of EMR/HER experience (preferably GE Centricity)
- High school graduate or equivalent
- Pleasant personality and patience is a MUST
- Outstanding listening skills and the ability empathize with others
- High degree of composure and interpersonal skills
- Devoted to teamwork and portraying the company in a very positive manner
- Maintain proper, courteous, and helpful telephone etiquette
- Organized, accountable, self-motivated, and attentive to detail
- Excellent written, verbal, interpersonal and communication skills
- Ability to work under pressure and accurately prioritize problems & initiatives
- Ability to work some overtime during the week to accommodate physician patient schedule as directed
- Experience with computerized scheduling system required
- Basic working knowledge of Microsoft Office Suite (Word, Excel, PowerPoint)
