    POSITION SUMMARY

    The Yakutat Tlingit Tribe is seeking a dedicated, highly organized, and skilled Tribal Secretary to join our team. This key role involves a broad range of responsibilities including preparing and managing official tribal correspondence and minutes, participating in all tribal council and sub-committee meetings, and ensuring the effective management of council needs. The Tribal Secretary will play a critical role in maintaining the integrity and documentation of tribal governance and operations.

     

    ESSENTIAL DUTIES AND RESPONSIBILITIES

    • Prepare and handle all official tribal correspondence, keeping accurate and detailed minutes of all regular, special, and work session meetings, including committee meetings.
    • Actively participate and coordinate all aspects of Tribal Council meetings, including but not limited to logistical and technical arrangements to ensure a productive environment.
    • Ensure that minutes and resolutions of all meetings are accurately recorded, approved, and securely stored, providing access to these records for Council Members and relevant parties as required.
    • Coordinate directly with department directors to ensure that council materials are prepared and included for Tribal Council Consideration, including returned signed documents back to the appropriate staff for program implementation.
    • Serve as a file manager and support in the construction of an organized digital filing system.
    • Review and revise resolutions, job descriptions, and other official documents, serving as a primary resource for drafting and editing official documents and communications.
    • Address and manage the diverse needs of the council, including technology hosting for council meetings, ensuring that all technological and logistical needs are met for effective meeting conduct.
    • Serve as Election Coordinator: support the annual tribal elections, recruit, hire and monitor the Election Board staff to conduct annual elections.
    • Play a major role in reviewing and revising all packets and materials for council meetings to ensure accuracy, completeness, and clarity.
    • Develop best practices and workflows as necessary to ensure task completion.
    • Perform related duties as needed.

     

    MINIMUM QUALIFICATIONS

    Education and Work Experience: Experience may be substituted for education on a year for year basis

    • Bachelors degree in Public Administration, English, or related field preferred.
    • Minimum of two (2) years of experience in a secretarial role or administrative setting required.
    • Valid Driver’s License.

     

    Knowledge, Skills, and Abilities:

    • Knowledge of virtual meeting/tech hosting roles.
    • Knowledge of Tribal Governance and cultural sensitivity.
    • Skills for high level written and verbal communication.
    • Skills for high level organizational and time management.
    • Skills proficient in Microsoft Office Suite.
    • Ability to handle confidential information with the utmost discretion.
    • Ability to work independently and as part of a team.


    WORK ENVIRONMENT/PHYSICAL DEMANDS
    The environment involves everyday risks or discomforts that require normal safety precautions typical of such places as offices, meeting and training rooms, requiring use of safe work practices with office equipment, avoidance of trips and falls, observance of fire regulations and traffic signals. The work area is adequately lighted, heated, and ventilated. Recent protocols have been added to address COVID-19; all employees are informed of most current health requirements to keep employees and the community as safe as possible. The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items, such as papers, books, or small parts; or driving an automobile.
