Secretary to Chief Executive Officer provides administrative support in a variety of functions to the Chief Executive Officer that are focused on increasing the efficiency of the executive. Reviews, prioritizes, directs and delegates a wide variety of complex and confidential requests that are presented to the executive for consideration. Being a Secretary to Chief Executive Officer summarizes, prioritizes, and researches information into a concise and usable format for the executive to review. Responds to or routes priority or confidential inquiries from external or internal sources with correspondence or other messaging on behalf of the executive. Additionally, Secretary to Chief Executive Officer creates or directs creation of reports, charts, budgets and other presentation materials for the executive. Coordinates high level projects, travel arrangements, and meetings. May plan and schedule work and direct other staff to deliver support. Has a broad knowledge and understanding of the company's operations and business objectives. Requires an associate degree or its equivalent. Typically reports to the CEO. The Secretary to Chief Executive Officer contributes to moderately complex aspects of a project. Work is generally independent and collaborative in nature.       POSITION TITLE: Executive Assistant for Human Resources Management

      ESSENTIAL QUALIFICATIONS:

      • High school diploma or equivalent; valid New Jersey driver's license.
      • Must possess strong people skills, organizational skills, and clerical/secretarial skills.
      • Must possess strong word processing skills and be adept at applying and utilizing technologies. PC and network computer skills are required.
      • Must be able to copy, file, and retrieve materials
      • Must be able to communicate effectively with students, parents, staff, and the public in general.
      • Must be able to work in a highly sensitive and confidential manner.
      • Strong attention to detail, accuracy, and follow-up are critical for success on the job.
      • Outstanding attendance is expected.
      • Required criminal history background check and proof of U.S. Citizenship or legal resident alien status.

      ESSENTIAL FUNCTION OF POSITION:

      • Support the Board of Education’s and administration’s philosophy, goals, and objectives for the district, its schools, and its departments.
      • Maintain file of all personnel which includes:

        • Personnel file
        • Contract file
        • Certification records
        • Substitute Certificates and paperwork
        • Mentoring Paperwork
      • Prepare and process all NJDOE certification applications in a timely manner.
      • Prepare contracts and maintain contract files.
      • Prepare correspondence related to personnel issues.
      • Maintain personnel records and prepare monthly employment motions for Board meetings.
      • Process all criminal background applications, including but not limited to emergency hiring procedures as may be applicable.
      • Inform all new employees, according to state health code, relative to the required Mantoux (TB) testing, track staff compliance and inform supervisor with regard to staff who have not complied.
      • Receive, record, and file all employee performance observations and evaluations.
      • Prepare and submit annual NJDOE reports and, when appropriate, certification of school bus drivers.
      • Assist in preparation of budget materials.
      • Assist the Human Resource Manager and/or the designee in preparation of all proposals as required for negotiations.
      • Responsible for implementation of certain financial aspects of negotiated contracts.
      • Maintain and update the district’s attendance software, to ensure that former employees are no longer in the system.
      • Perform other duties as assigned by the School Business Administrator and/or the Human Resource Manager.

      TERMS OF EMPLOYMENT:

      Non-Guide employee status with twelve-month work year. Salary established annually by the Board of Education.

      SALARY RANGE

      $62,000-$74,000

      EVALUATION:

      The annual performance evaluation will be based upon this position description and any applicable State regulations and/or Board of Education policies.
