JOB SUMMARY:
Under the direction of the Administrative Assistant to the President, the Secretary serves as the main
receptionist for the Executive Office. The incumbent transcribes material by typing correspondence,
documents and records, and assists as assigned to support the Executive Offices functions and projects.
ESSENTIAL JOB FUNCTIONS:
1. Screens telephone calls to assist callers and refer to appropriate person.
2. Greets visitors, determines needs and provides assistance.
3. Produces letters, correspondence and related documents.
4. Assists with proofreading of Executive Office’s correspondence including Officer Reports, BOD
reports, Retiree newsletter, etc.
5. Assists with the administration of Committee operations, including preparing Committee
appointment letters and Committee binder.
6. Sorts, dates, distributes and tracks mail.
7. Assists in the set-up and preparation of various meetings.
8. Makes travel arrangements for Officers and/or staff.
9. Assists in the preparation and packing of materials needed for workshops, conventions and trainings.
10. Provides assistance with all departmental mailings.
11. Maintains office files.
12. Performs related duties as assigned.
13. Incumbent must be aware of the discretion required in handling confidential information.
MINIMUM QUALIFICATIONS:
High School Diploma or equivalency. Ability to type 30 words per minute and good grammar and spelling skills. Proficiency in the Microsoft suite of office software.
AND
Two years of experience in clerical or secretarial field.
OR
A satisfactory combination of education and experience as determined by CSEA.
Must successfully complete appropriate tests administered by the Human Resources Department.
Note: Advancement to the next grade level upon completion of two years of satisfactory performance as determined by Department Head.
