    Overall Responsibilities:

    Reporting to the General Manager, the Branch & Inventory Administrator is responsible for all branch office administrative aspects by providing excellent customer service and supporting Doyle Security Systems, Inc.’s mission, vision, and values.

     

    Primary Function:

    The Branch & Inventory Administrator provides administrative support for the branch, performs duties such as record keeping, scheduling, reporting, and inventory. Administrator will also lead coordination of meetings and appointments, special projects, and answers non-routine correspondence. Administrator interacts with external callers as well as internal contacts at all levels of the organization. Independent judgment is required for the Branch & Inventory Administrator to plan, prioritize, and organize a varied workload.

     

    Branch & Inventory Administrator Essential Job Functions:

    • Accurately initiate, maintain and report all branch activity through the Sedona (billing) system.
    • Lead job management process to ensure all requirements are met for jobs to be installed and billed in a timely fashion. Prepare job orders, determine job hours, and close jobs.
    • Prepare customer-facing and internal documents including proposals, quarterly reports, and permit applications
    • Interface with sales, customers, and customer care team to assure excellent customer service.
    • Coordinate the branch’s customer retention activity.
    • Maintain branch inventory.
    • Support Branch GM and Branch Operations Manager

    Other job duties:

    • Enter jobs & set up customers into billing and inventory systems;
    • Order & maintain inventory.
    • Provide notes/explanations for under/over on jobs.
    • Set up inspections for customers when sold by sales representatives.
    • Assist sales/contact customers for inspections done at the time of installation and offer inspection contracts.
    • Order and ship parts requested by customer care team (batteries, fobs etc.) and complete service ticket.
    • Assist accounting with collection efforts.
    • Participate in quarterly review with senior management.
    • Assist in coordinating office events.

    Branch & Inventory Administrator Requirements:

    • Minimum of 5 years in an administrative support role.
    • Proficient in MS Word, Excel and Outlook.
    • Ability to learn new software applications.
    • Knowledge and experience in office administrative procedures.
    • Experience in computer software business applications; Microsoft word, Excel spreadsheets, and PowerPoint.
    • Demonstrated high level of interpersonal skills.
    • Analytical ability to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work required.
    • Attention to detail in preparation of sales orders, billing, inventory, establishing priorities and meeting deadlines.
