The Shipping Documentation Specialist II coordinates the preparation and organization of bills of lading, packing slips, invoices, and required export licenses or compliance documents. Prepares shipping documentation and processes orders. Being a Shipping Documentation Specialist II troubleshoots shipping delays or changes with carriers and communicates to customers. Utilizes enterprise resource planning (ERP) or other systems to record and track all shipping transactions. In addition, Shipping Documentation Specialist II ensures shipping protocols and documentation meet required regulatory requirements for hazardous materials (DOT/HAZMAT) or special handling. Investigates and resolves shipping non-conformance. Requires a high school diploma. Typically reports to a supervisor. Being a Shipping Documentation Specialist II works under moderate supervision. Gaining or has attained full proficiency in a specific area of discipline. Working as a Shipping Documentation Specialist II typically requires 1-3 years of related experience, or may need 0 years of experience with additional specialized training and/or certification. The Shipping Clerk executes all the technical and administrative duties required to prepare documentation for all shipments in compliance with company processes and procedures.
Responsibilities:- Control and direct the movement of packages from the preparation level to the delivery level
- Maintains and adheres to work instructions for verification of incoming and outgoing shipments, handling/disposition of finished goods and inventory accuracy.
- Ensure material is processed in accordance with each customer’s guidelines as well as RRD warehouse guidelines
- Ensure all required paperwork for material receipt is in order, present, and accurate
- Ensure compliance on exports
Requirements:- High School Diploma or equivalent
- 1-2 years in a manufacturing environment
- Strong attention to detail
- Strong written and verbal skills; ability to interface with multiple levels of the organization in a clear manner
- Ability to navigate non-standard situations and apply policy accordingly
- The ability to use AS400 system for Fed Ex, UPS Machine/Options entering correct account numbers.
